Verdane is looking for an experienced and highly organised Executive Assistant to support senior investment professional in Oslo with additional senior IPS across the firm.
This role sits at the heart of Verdane’s Oslo operations, providing comprehensive administrative and organisational support to ensure senior team members can focus on investment activity.
The Executive Assistant will manage complex schedules, coordinate across international time zones, and act as a trusted point of contact for internal and external stakeholders. The role requires a proactive, discreet and detail-oriented professional who can work effectively in a fast-paced, deal-driven environment.
Your responsibilities
- Manage and optimise complex calendars, scheduling meetings and coordinating logistics across multiple time zones
- Organise domestic and international travel arrangements, including flights, accommodation, ground transport and detailed itineraries
- Prepare and edit correspondence, presentations and documents to a high standard
- Act as the first point of contact, screening calls and communications on behalf of senior team members
- Coordinate internal and external meetings, including preparation of agendas, materials and follow-up actions
- Support deal-related administration, including document management, filing and coordination with legal and finance teams
- Manage expense reporting and invoice processing ina timely and accurate manner
- Assist with event planning for local team offsites and social events
- Assist with the day-to-day office operation together with the local Business Support team
- Liaise with Verdane offices across Europe to support cross-border coordination
- Maintain the highest standards of confidentiality in all aspects of the role
- Your profile
- Proven track record of supporting senior executives in a demanding, international environment
- Fluency in Norwegian and English, both written and spoken, is essential
- Strong proficiency in Microsoft Office 365, including Outlook, Word, Excel, PowerPoint and AIExceptional organisational skills with a high level of attention to detail
- Confident communicator with professional presence and a calm, solutions-oriented approach
- Experience handling sensitive and confidential information with absolute discretion
- Ability to prioritise effectively and manage competing demands under time pressure
- Resourceful and a problem solver
- Proactive, self-motivated and able to work independently
