About The Role

We are looking for a highly organized, proactive, and detail-oriented Executive Assistant to support up to three executives in a fast-paced environment. This role is critical to ensuring smooth day-to-day operations, effective time management, and strong coordination across internal and external stakeholders.

The ideal candidate will be able to manage multiple priorities with discretion, professionalism, and sound judgment, while helping executives stay focused on the highest-impact work.

Your Responsibilities

• Manage and optimize complex calendars for up to three executives, including prioritization of key meetings, alignment with business objectives, and resolution of scheduling conflicts.
• Coordinate meetings end-to-end, including scheduling, agenda preparation, compilation of briefing materials, and follow-up on action items to support effective decision-making.
• Assist with inbox management by monitoring communications, drafting responses, flagging urgent matters, and helping ensure timely follow-up as needed.
• Arrange travel logistics, including flights, accommodations, transportation, itineraries, and expense tracking.
• Maintain accurate and well-organized documentation, records, and meeting notes as needed.
• Track action items and deadlines across executive meetings and projects, ensuring timely follow-through.
• Proactively identify and implement improvements to administrative workflows, communication practices, and team coordination.
• Act as a reliable point of contact and coordination for executives, internal teams, and external stakeholders where appropriate.
• Handle sensitive and confidential information with a high degree of discretion and professionalism.
• Your key competencies
• Proven experience in an Executive Assistant, Senior Administrative Assistant, or similar support role.
• Experience supporting multiple senior leaders or executives simultaneously is strongly preferred.
• Excellent organizational and time-management skills, with the ability to manage competing priorities in a fast-paced environment.
• Strong written and verbal communication skills.

Strong English skills, additional languages are a positive.

High level of professionalism, discretion, and sound judgment.

Strong attention to detail and ability to follow through consistently.

Ability to work independently, anticipate needs, and solve problems proactively.

Proficiency with common productivity and collaboration tools, including email, calendar, document, and meeting platforms.
