The Secretary provides high-quality administrative and executive support to senior leaders within the Investments team, ensuring smooth day-to-day operations and effective coordination across a dynamic stakeholder group.
This role is highly coordination-focused, with a strong emphasis on complex calendar management, scheduling across time zones, and supporting senior executives in a fast-paced, deal-driven environment. They will act as a trusted point of contact, demonstrating sound judgement, flexibility and a service-oriented mindset in supporting both business and occasional personal administration needs.
Provide comprehensive secretarial and administrative support to senior management. Serve as a liaison between senior management and other parties, both internally and externally. Assist with calendar management, meeting scheduling, travel arrangements, and expense claims. Manage correspondence and incoming calls, prioritizing those that require immediate attention. Undertake ad hoc assignments as needed
Qualifications
- Minimum 5 years’ relevant secretarial / executive assistant experience, ideally supporting senior stakeholders (Director level and above)
- Prior exposure to investment banking, private equity, venture capital, alternative investments or professional services environments preferred
- Associate degree or above; relevant secretarial qualification is an advantage
- Experience supporting multiple senior stakeholders concurrently in a high-volume, fast-paced setting
- Solid planning, organizational, multitasking and time-management skills with the ability to manage both personal and business priorities effectively.
- High level of accuracy with excellent attention to detail
- Always display the highest standards of integrity, professionalism and an ability to stay calm in pressured situations
- Proactive, professional, diligent and resourceful with excellent interpersonal skills
- Committed to learning and continuous improvement
- Fluency in English and Chinese (spoken and written)
