We are seeking a proactive and highly organized HR & Office Manager to oversee human resources operations and day-to-day office management for our US office. This role serves as a trusted partner to leadership and employees, ensuring effective people management, regulatory compliance, operational excellence, and a productive workplace environment.
The successful candidate will lead performance management processes, support employee development, manage HR compliance and risk matters, and act as the primary liaison with building management and external vendors.
Key Responsibilities
Human Resources Management
- Serve as the primary HR representative for the US office, providing guidance and support to managers and employees.
- Lead the performance management cycle, including goal setting, KPI development, performance reviews, and employee development plans.
- Partner with department leaders to establish measurable objectives and ensure alignment with organizational goals.
- Monitor employee performance and support managers in addressing performance concerns, coaching, and corrective action processes.
- Facilitate employee onboarding, orientation, and offboarding processes.
- Maintain accurate employee records and HR documentation in compliance with company policies and legal requirements.
- Support employee engagement initiatives and foster a positive workplace culture.
- Assist with workforce planning, organizational development, and talent retention initiatives.
- Coordinate employee training and professional development programs.
Risk, Compliance & Governance
- Ensure compliance with all applicable federal, state, and local employment laws and regulations.
- Maintain HR policies, employee handbooks, and workplace procedures, ensuring they remain current and compliant.
- Monitor and mitigate HR-related risks, including employee relations matters, workplace investigations, and compliance issues.
- Coordinate mandatory compliance training and reporting requirements.
- Partner with leadership and external advisors on employment-related risk management and best practices.
- Support audits and maintain documentation required for legal, regulatory, and corporate governance purposes.
Office Management & Administration
- Oversee the daily operations of the US office to ensure a safe, efficient, and professional working environment.
- Manage office facilities, supplies, equipment, and administrative services.
- Act as the primary liaison between the company and building management, ensuring prompt resolution of facility-related matters.
- Coordinate office maintenance, repairs, security access, parking arrangements, and workplace services.
- Manage relationships with office vendors, service providers, and contractors.
- Support office budgeting and monitor administrative expenditures.
- Coordinate company meetings, events, and workplace initiatives.
- Ensure compliance with workplace health, safety, and emergency preparedness requirements.
Technology, Learning & Change Management
- Lead the implementation and rollout of new HR systems, workplace technologies, and operational tools across the US office.
- Drive employee adoption of new technologies through communication, training, and change management initiatives.
- Coordinate and facilitate learning and development programs to support employee growth, capability building, and organizational effectiveness.
- Identify training needs and partner with internal and external stakeholders to deliver relevant learning solutions.
- Monitor the effectiveness of training and technology initiatives and recommend continuous improvements.
- Support leadership in driving a culture of innovation, continuous learning, and operational excellence.
- Lead the implementation of SOPs as directed by HQ Finance, HR, and Risk and Compliance, and Operations.
Gushcloud House & Vendor Management
- Oversee the day-to-day management and operational needs of Gushcloud House, ensuring facilities, services, and resources are maintained to a high standard.
- Manage relationships with all Gushcloud House vendors, suppliers, contractors, and service providers, including contract administration, performance monitoring, and issue resolution.
- Coordinate facility maintenance, repairs, upgrades, and operational requirements for Gushcloud House.
- Monitor vendor service levels, negotiate contracts where appropriate, and ensure cost-effective service delivery.
Stakeholder & Leadership Support
- Provide regular updates and reports to management on HR metrics, employee performance, compliance matters, and office operations.
- Collaborate with global and regional teams to ensure consistency in HR and operational practices.
- Support leadership with special projects and strategic initiatives as required.
Qualifications
- Bachelor’s degree in Human Resources, Business Administration, or a related field.
- 5+ years of experience in HR, office management, or a combined HR/administrative leadership role.
- Strong knowledge of US employment laws, HR best practices, and compliance requirements.
- Experience managing performance management frameworks, KPI setting, and employee development processes.
- Demonstrated ability to handle confidential information with professionalism and discretion.
- Excellent organizational, communication, and stakeholder management skills.
- Strong problem-solving and decision-making abilities.
- Proficiency in Microsoft Office Suite and HR information systems (HRIS).
Preferred Qualifications
- SHRM-CP, SHRM-SCP, PHR, or equivalent HR certification.
- Experience supporting fast-growing or multinational organizations.
