Director, Clinical Recruitment and Retention

MPA are retained by a Toronto based CRO to recruit for a Director, Clinical Recruitment and Retention. The CRO run early-phase studies, bioequivalence testing, validate new drugs and provide regulatory support for pharmaceutical companies.
This role oversees all participant recruitment and pre-screening operations for clinical research studies, including BE and Phase I trials. Develops and executes recruitment strategies, ensures enrolment objectives are achieved, and provides leadership to the Toronto Clinical Recruitment team.
Responsibilities
- Lead the Clinical Research team to achieve study objectives while ensuring compliance with study protocols, BPSI SOPs, GCP, regulatory requirements, and timelines.
- Establish, monitor, and report on KPIs and performance metrics to drive operational excellence and stakeholder transparency.
- Develop and execute participant recruitment and engagement strategies to maximize enrolment, reduce screen failures and no-shows, and maintain a healthy participant database.
- Collaborate with Marketing to optimize participant acquisition through digital, social, and traditional marketing channels.
- Develop recruitment strategies for specialized patient populations based on study requirements.
- Contribute to the development and review of study protocols, SOPs, quality systems, internal procedures, and participant compensation models.
- Conduct protocol feasibility assessments and provide operational input on study design, recruitment, inclusion/exclusion criteria, laboratory requirements, and compensation.
- Optimize clinic resources, scheduling, and enrolment planning to support efficient study execution.
- Support strategic initiatives, partnerships, and process improvements that enhance productivity, scalability, and cost-effectiveness.
- Evaluate and implement digital solutions to improve participant engagement, operational efficiency, and stakeholder visibility.
- Achieve departmental Objectives and Key Results (OKRs) established by Executive Management.
- Prepare and present strategic plans, performance metrics, and operational updates to internal stakeholders, clients, and sponsors.
- Provide leadership and oversight of Call Centre operations, including workforce planning, performance management, service quality, and recruitment support.
- Communicate recruitment risks, enrolment challenges, and timeline deviations proactively to mitigate study impacts.
- Oversee Clinical Recruiters and Clinical Recruitment Coordinators, ensuring accurate documentation, data management, participant scheduling, and compliance with study requirements.
- Develop and manage study-specific recruitment plans that balance participant safety, clinic capacity, staffing, timelines, and budget considerations.
Qualifications
- Knowledge of Good Clinical Practice (gcp)
- Able to work in research setting and aware of the confidentiality that is required in research
- At least 4+ years’ experience in clinical research or related field
- Computer literacy: MS Office, good communication skills, problem solving, organizational and leadership skills
- Relevant previous Management and training experience required\
