What you'll do
- Provide proactive, high-level diary management for senior stakeholders, including complex scheduling of meetings, calls, off-sites, town halls, and other key engagements
- Coordinate end-to-end travel arrangements, producing detailed itineraries with contingency planning, while ensuring cost efficiency and adherence to internal policies
- Manage expense processing in line with corporate guidelines, ensuring full compliance with travel and entertainment policies and timely submission of supporting documentation
- Act as a key liaison for internal and external stakeholders, supporting client interactions and coordinating cross-functional scheduling and communications
- Maintain and update internal systems and administrative processes, including data entry, reporting, distribution lists, and general operational housekeeping
- Partner with other assistants and business support teams to ensure seamless coverage, responsiveness to changing priorities, and effective delivery across the business
What you bring
- Proven experience as an Executive Assistant or Business Assistant supporting senior stakeholders, ideally within Investment Banking or a corporate environment
- Strong diary management skills with the ability to prioritise competing demands and manage complex, fast-moving schedules effectively
- Excellent written and verbal communication skills, with a polished, professional style suitable for interaction across all levels of seniority
- Experience coordinating complex travel arrangements and itineraries, with a focus on efficiency, cost control, and contingency planning
- High level of accuracy, attention to detail, and strong capability in managing expenses and ensuring compliance with internal policies and systems
- Proactive, adaptable, and solution-oriented approach with the ability to work under pressure, build strong relationships, and operate effectively within a fast-paced Investment Banking environment
