Marketing & Office Assistant - Vitamin Well Finland

About the role

As our new Marketing & Office Assistant, you will support the Finnish marketing team while ensuring the smooth day-to-day operations of our office. This is a varied role that combines office coordination, administration, and hands-on marketing support.

You will be involved in a wide range of activities, from daily office operations to product launches, campaigns, and events. It is a great opportunity for someone who enjoys taking ownership, staying organised, and contributing wherever needed in a fast-paced environment.

Your responsibilities will include

• Office & Administration
• Being the first point of contact for incoming calls and inquiries
• Managing shared email inboxes and ensuring smooth internal and external communication
• Coordinating incoming deliveries, shipments, and office logistics
• Managing office administration and supplier agreements, including landlords, insurance providers, car fleet services, warehouse storage, postal services, and invoices
• Acting as the main contact for distributors and coordinating practical service-related matters
• Taking ownership of various office-related tasks to ensure an efficient and well-organised workplace
• Marketing & Event Coordination
• Supporting the team with product launches, campaigns, and marketing activities
• Ordering products and coordinating deliveries for events and marketing initiatives
• Assisting with event planning, logistics, and administrative follow-up
• Providing hands-on support across a variety of marketing and coordination projects
• Supporting the team with ad hoc tasks and activities as needed

• Have previous experience from a coordination, administration, office support, marketing, or assistant role
• Enjoy working in a fast-paced environment and feel comfortable balancing multiple responsibilities at the same time
• Are comfortable switching between operational tasks, project coordination, and administrative work
• Take initiative, follow through on commitments, and enjoy contributing wherever support is needed
• Enjoy building relationships and collaborating with both colleagues and external partners
• Have a valid drivers license.

Communicate fluently in both Finnish and EnglishA relevant educational background in marketing, communications, business administration, or a related field is a plus, but we place equal value on your attitude, experience, and willingness to learn.
