Role Summary
We are looking for a detail-oriented and execution-focused PMO professional to support project governance, resource allocation, and financial operations across projects. This role plays a critical part in ensuring projects are well-planned, well-tracked, and delivered with strong operational and financial discipline.
Key Responsibilities
Project Allocation & Resource Management
Manage and track project allocations across teams and accounts
Monitor utilization, bench movement, and allocation conflicts
Work closely with Delivery, HR, and Leadership to ensure optimal resource deployment
Maintain accurate allocation data and forecasting reports
Project Lifecycle Management
Own and govern the end-to-end project lifecycle
Ensure all projects follow standard PMO processes from initiation to closure
Track milestones, dependencies, risks, and timelines
Maintain project documentation and compliance with PMO standards
Project Kickoff Management
Coordinate and manage project kickoffs
Ensure all prerequisites are met before project start (SOW, resourcing, timelines, commercials)
Prepare and circulate kickoff decks, Mo
Ms, and action trackers
Align stakeholders on scope, delivery expectations, and governance cadence
Project Closure & Checklist Management
Own the project closure checklist and ensure timely completion
Validate delivery sign-off, documentation, and knowledge transfer
Ensure financial and operational closure of projects
Capture learnings and closure insights for continuous improvement
Invoicing & Financial Operations
Coordinate with Finance and Delivery teams on project invoicing
Ensure invoices are raised accurately and on time as per contract terms
Track billing milestones, delays, and revenue leakage
Support P&L visibility through accurate project-level data
Timesheet Management
Own timesheet governance across projects
Ensure timely and accurate submission by all team members
Validate timesheet data against allocations and billing requirements
Share regular compliance reports and follow up on gaps
Reporting & Governance
Prepare and publish PMO dashboards and reports
Track project health, utilization, revenue, and risks
Support leadership reviews with accurate and actionable data
Required Skills & Competencies
Strong understanding of project lifecycle and PMO frameworks
Experience with resource allocation, utilization tracking, and forecasting
Hands-on exposure to timesheets, invoicing, and financial operations
Excellent coordination and stakeholder management skills
High attention to detail and strong follow-through
Proficiency in Excel / Google Sheets; experience with PM tools is a plus
Ability to manage multiple projects simultaneously
Preferred Qualifications
Experience in IT services, consulting, or project-based organizations
Familiarity with tools like JIRA, MS Project, Click
Up, Monday, or similar
