Your RoleWe are looking for a proactive, detail-oriented, and highly organized Executive Assistant to provide comprehensive administrative and operational support to senior leadership. The ideal candidate will demonstrate strong multitasking abilities, effective communication skills, and the ability to manage priorities in a fast-paced environment.
In this role you will play a key role in:
Executive & Administrative SupportManage executive calendars, scheduling meetings, appointments, and travel arrangementsHandle mailbox management, correspondence, and follow-ups on behalf of leadershipMaintain and update distribution lists and contact databasesPrepare agendas, presentations, reports, and meeting materialsMeeting & Communication ManagementCoordinate internal and external meetingsCapture and circulate Minutes of Meeting (MOMs) with clear action itemsProvide transcription and documentation supportOperational & Business SupportSupport business operations, reporting, and coordination across teamsPrepare dashboards, MIS reports, and presentations using Excel and PowerPointAssist with ad-hoc reporting and business analysisStakeholder ManagementCollaborate with internal teams (HR, IT, Finance, Operations) and external stakeholdersBuild strong working relationships to ensure smooth communication and executionDocumentation & CoordinationMaintain organized documentation and records (SharePoint or similar tools)Ensure data accuracy and version controlSupport project coordination and basic PMO activitiesEvent & Travel ManagementCoordinate events, leadership meetings, and team engagementsManage travel bookings, itineraries, and expense trackingAdditional ResponsibilitiesConduct business research and compile insightsSupport procurement and administrative processesAssist in handling confidential information with high discretionYOUR PROFILERequired Skills & QualificationsProven experience as an Executive Assistant, PMO, or similar roleStrong proficiency in MS Office (Excel, PowerPoint, Word)Working knowledge of SharePoint or document management systemsExcellent communication, presentation, and interpersonal skillsStrong organizational and time management abilitiesAbility to multitask and prioritize under tight deadlinesCompetenciesHigh attention to detail and accuracyStrong analytical and problem-solving skillsAbility to manage multiple stakeholders and conflicting prioritiesEmotional intelligence and professional maturityProactive and self-driven approachPreferred QualificationsExposure to PMO activities or project coordinationExperience working in a global or cross-functional environmentProject management certification (optional)What You'll Love About Working HereYou can shape your career with us.
