The Assistant Director of Enrollment & Admissions is a hands-on, roll-up-your-sleeves role on a small, tight-knit enrollment team where every member touches every part of the process. From a family's first inquiry through their child's transition to the next school, you'll help shape the experience — engaging prospective families, running admissions events, managing applicant data, and coordinating placement and exmissions. No task is too big or too small: one hour you might be interviewing a prospective family, the next you're setting up chairs for an Open House or troubleshooting a Ravenna record.

Primary Responsibilities
- Admissions Operations & Family Communication
- Support prospective families throughout the admissions and enrollment process.
- Enter and maintain inquiry and applicant information in Ravenna and related databases.
- Proactively follow up with prospective families and support lead nurturing efforts.
- Schedule and coordinate:
- Parent interviews
- Child visits/interviews
- Tours and classroom observations
- Prepare interview materials and admissions packets.
- Maintain applicant files and upload supporting documentation, including:
- ISAAGNY reports and related materials
- School reports
- Testing results
- Service provider documentation
- Recommendation letters
- Draft and send thank-you correspondence to applicant families.
- Maintain accurate admissions statistics and reporting related to tours, interviews, open houses, applications, etc.
- Enrollment Events & Community Outreach
- Coordinate logistics and materials for admissions and community events, including:
- Open Houses
- Tours
- Community Storytimes
- Curiosity Classes
- School fairs
- New Parent Reception
- Fall Festival
- Winter Wonderland
- Spring Fling
- Parents of Children of Color admissions events
- Order food, prepare nametags, organize materials, and support event setup and guest experience.
- Assist with crowd management and family hospitality during events.
- Coordinate current parent volunteers for tours, fairs, and admissions programming.
- Attend school fairs and occasional evening/weekend events.
Admissions Materials & Communications
- Assemble and maintain admissions materials for Preschool and Elementary divisions.
- Coordinate inventory, ordering, and organization of admissions swag and printed materials.
- Assist with weekly admissions communications and lead nurturing emails.
- Prepare mailing lists and support admissions outreach campaigns.
Placement & Exmissions Support
- Support the Placement team and exmissions process.
- Schedule family meetings and school appointments.
- Manage documentation and communication with receiving schools.
- Maintain placement-related records and databases.
- Coordinate logistics and communication with schools and families throughout the process.
Qualifications & Skills
- Exceptional interpersonal and communication skills
- Admissions experience preferred
- Strong organizational and project management abilities
- Collaborative, service-oriented approach
- Ability to manage multiple priorities with attention to detail
- Proficiency with:
- Google Workspace
- Microsoft Office Suite
- Blackbaud
- Ravenna (preferred)
- Experience working with databases and enrollment systems preferred
- Willingness to work occasional evenings and weekends
