We’re hiring an exceptional Executive Assistant to our Founder and CEO.
This is not a standard EA role. It’s a high-trust, high-impact position supporting a fast-moving, visionary founder whose time, energy and focus need to be protected and channelled into the areas where he can create the greatest value.
The right person will bring structure, calm, pace and follow-through. You’ll be organised, emotionally intelligent, discreet and commercially aware. You’ll be the person who makes sure the right things happen, at the right time, with the right people involved.
The roleAs Executive Assistant, you’ll work closely with our Founder/CEO to help him operate at his best.
This is a Dubai-based, office-led role, with flexibility required around his schedule, meetings and travel.
You’ll manage his diary, inbox, travel, meetings, priorities and follow-up. But more importantly, you’ll help create the rhythm and structure around him so that ideas turn into action, conversations become clear next steps, and important commitments don’t get lost in the noise.
This role will suit someone who takes pride in getting stuff done/executing and following through on details. Someone who can anticipate what’s needed before being asked. Someone who can keep pace with a busy founder and deliver structure within an entrepreneurial environment.
What you’ll be doing
- You’ll manage his diary, inbox and daily priorities with judgement, discretion and confidence.
- You’ll act as a trusted gatekeeper, helping protect his time and ensuring his focus stays on the highest-value activities.
- You’ll prepare him for meetings by making sure he has the right information, briefing notes, documents and context.
- You’ll help ensure every interaction with clients, prospects and strategic partners reflects AES’s standards: warm, prepared, polished and professional.
- You’ll help keep relevant records, contacts, meeting notes and follow-up actions up to date in the appropriate systems, including CRM where required.
- You’ll capture actions, track follow-through and make sure commitments are progressed.
- You’ll coordinate travel, meetings, events, itineraries and logistics.
- You’ll draft, review and polish emails, messages, presentations and internal communications where needed.
- You’ll liaise with senior colleagues, clients, partners and external stakeholders with warmth, professionalism and discretion.
- You’ll help bring structure to ideas, conversations and priorities, making sure there’s clear ownership and momentum.
- You’ll chase people tactfully but persistently when things need to move forward.
- You’ll support ad hoc projects, leadership activity, events and business development priorities.
- You’ll help create calm around complexity.
What you’ll need to bring
- You’re more than efficient. You’re thoughtful, proactive and deeply reliable.
- You’re highly organised, with excellent attention to detail and the ability to manage multiple moving parts without becoming flustered.
- You’re confident enough to manage upwards and challenge appropriately, while still being warm, diplomatic and respectful.
- You’re discreet by nature and understand the importance of handling confidential and sensitive information carefully.
- You’re naturally proactive. You don’t wait to be told what to do when the next step is obvious.
- You’re emotionally intelligent and able to read people, situations and priorities quickly.
- You’re flexible, responsive and comfortable supporting a senior executive in a fast-moving business where occasional out-of-hours support may be required.
- You’re a strong written communicator, able to write clearly, professionally and with polish.
- You’re comfortable working with a founder who moves quickly, thinks broadly and needs someone beside him who can create structure, rhythm and follow-through.
Experience
- You’ll ideally have previous experience supporting a CEO, founder, chair, managing partner, senior executive or UHNW principal.
- Experience in financial services, professional services, consulting, private office, family office or an entrepreneurial business would be highly valuable.
- You’ll need strong diary, inbox, travel and meeting management experience.
- You’ll be confident using Microsoft Outlook, Word, Excel and PowerPoint. Experience with CRM systems, project management tools or AI-enabled productivity tools would be an advantage.
- Prior UAE or Dubai experience would be helpful, but what matters most is capability, attitude, discretion and judgement.
