Job Summary
We are seeking a highly organized and detail-oriented Program Coordinator / Administrative Assistant to support daily operations in a fast-paced healthcare and academic environment. The ideal candidate will provide administrative support, coordinate activities and schedules, maintain records, communicate with internal and external stakeholders, and assist with special projects and departmental initiatives.
Responsibilities
- Provide administrative and secretarial support to departmental staff and leadership.
- Answer phones, respond to inquiries, and provide exceptional customer service.
- Schedule appointments, meetings, seminars, workshops, and other departmental activities.
- Maintain electronic records, files, databases, and documentation.
- Prepare reports, correspondence, presentations, and other administrative materials.
- Coordinate communication between departments and external partners.
- Assist with data collection, tracking, and reporting activities.
- Support program operations and ensure tasks are completed accurately and efficiently.
- Maintain confidentiality and handle sensitive information professionally.
- Assist with special projects and other duties as assigned.
Qualifications
- 1–5 years of administrative, coordinator, secretary, customer service, or office support experience.
- Strong computer skills, including Microsoft Office Suite.
- Excellent verbal and written communication skills.
- Strong organizational skills and attention to detail.
- Ability to manage multiple priorities in a fast-paced environment.
- Professional interpersonal and customer service skills.
- Experience with scheduling systems, databases, EMR/EHR systems, or electronic record platforms preferred.
- Bachelor's degree preferred; equivalent experience will be considered.
Pay: $20.00 per hour
