About The RoleThis role provides high-level personal and administrative support to the General Manager while also overseeing day-to-day office operations. Acting as a trusted partner and gatekeeper, the role ensures effective calendar, travel, and meeting management, while supporting leadership, regional, and global engagements as needed.
In parallel, the role manages office administration and facilities, including vendor coordination, office supplies, shipments, invoicing, and IT liaison, to ensure a smooth and efficient workplace. The role also supports internal communications, onboarding of new employees, and ad hoc operational needs, requiring strong organisational skills, discretion, and a proactive, service-oriented mindset.

Key Areas Of ResponsibilitiesPersonal Assistant to Asia General ManagerProvide comprehensive administrative support to the General Manager, including diary management, meeting scheduling, and calendar coordinationManage end-to-end travel arrangements (flights, accommodation, visas, itineraries) and prepare detailed travel schedulesPrepare, edit, and format correspondence, reports, presentations, and meeting materialsAct as a trusted gatekeeper by filtering information, managing communications, and ensuring priorities are handled effectivelyTrack deadlines, commitments, and action items, ensuring timely follow-upsSupport preparation and logistics for leadership, regional, and global meetings as requiredOffice Support & ReceptionProvide front-desk and office support, including handling deliveries, correspondence, and general office servicesCoordinate internal communications and support small office events and initiativesOversee daily office operations to ensure a smooth and efficient workplaceManage office facilities and maintenance, including air conditioning, heating, and access systemsCoordinate repairs and liaise with external vendors and building managementManage office equipment, supplies, and inventory (pantry items and stationeries)Handle small purchases and maintain stock levelsLiaise with IT and external service providers on office-related mattersMaintain records of office fixed assets and equipmentManage domestic and international shipments, including coordination with courier companies (e.g. UPS, DHL)Prepare shipping documentation and resolve delivery or customs-related issuesManage packing materials and related inventoryVerify and process invoices via BaswareCoordinate document signing processes (electronic and physical)Verify documentation and communicate effectively with internal and external stakeholdersSupport office communications, branding, and seasonal decorations where applicableProvide ad hoc operational and administrative support as neededSupport onboarding of new employees by coordinating basic information, system access, and office toolsIdeal ProfileMinimum 1–3 years’ experience in a Personal Assistant, Executive Assistant, Office Manager, or Administrative Operations roleDiploma or Bachelor’s degree in Business Administration, Management, Communications, Office Management, or a related fieldProven experience supporting senior leaders or Genel stakeholdersHands-on experience managing complex calendars, meetings, and travel arrangements (including international travel)Experience coordinating office operations, facilities, and vendorseral Manager-lev in a corporate environmentFamiliarity with invoice processing and procurement systems (e.g. Basware or similar)Experience handling domestic and international shipments, courier coordination, and documentationExposure to onboarding support for new employees (office access, tools, basic orientation)Experience working with cross-functional teams (IT, HR, Facilities, Finance)Prior experience in a regional or multinational organisation is an advantageWhy join Pandora in Asia?
