The Career Foundation is seeking to hire for Administrative Assistant Position on behalf of our partner employer.
Job Overview
We are seeking a reliable, detail-oriented Administrative Assistant to support a children’s educational program during the summer season. This is a short-term, execution-focused role centered on scheduling, communication, and daily operational coordination during an active program period.
Important: Due to the nature of the role and occasional in-person coordination needs, candidates must live within reasonable proximity to the work location (M2N 3B7, Sheppard & Bayview area).
Responsibilities
- Manage program schedules (sessions, instructors, locations)
- Confirm bookings with clients (parents, schools, camps)
- Respond to inquiries and follow up on pending confirmations
- Coordinate instructor availability and communicate schedules clearly
- Maintain tracking systems (bookings, contacts, documents)
- Perform basic accounting/bookkeeping tasks (e.g., tracking payments, invoicing support, reconciling simple records)
- Support general administrative operations and office coordination
- Ensure all sessions are organized and properly communicated
- Assist with basic social media tasks (content creation, posting, updates)
Ideal Candidate
- Highly organized and detail-oriented
- Strong customer service skills with professional communication
- Proficient in Google Workspace, Microsoft Excel, and basic tracking systems
- Basic understanding of accounting/bookkeeping principles
- Comfortable managing calendars and coordinating logistics
- Reliable, responsive, and able to communicate same-day when needed
- Able to adapt quickly and handle changes calmly
- Previous administrative, coordination, or customer service experience required
- Experience with consulting, operations support, or process improvement is an asset
- Experience with social media content creation is an asset.
