We’re looking for an experienced Administration Assistant to join our Company Secretariat team in Sydney, reporting to the Company Secretary. This is a high-impact role supporting board-level activity and corporate governance processes across the organisation.
About The RoleIn this role, you’ll provide advanced coordination, reporting and governance support, working closely with senior leaders to ensure seamless operations and compliance across Company Secretariat activities.
You’ll operate with autonomy and sound judgement, managing multiple priorities while contributing to process improvement and best practice delivery.
Key ResponsibilitiesBoard & Executive Support: Prepare board and committee papers, agendas, minutes, and high-quality correspondence for senior stakeholdersMeeting & Event Coordination: Manage logistics for board and governance-related meetings, including venues, travel and end-to-end coordinationDocument & Report Preparation: Create and maintain complex documents, reports and presentations using Microsoft Office and internal systemsData & Insights: Collate, analyse and present data to support governance reporting and decision-makingBudget Tracking: Monitor budgets, track variances and support financial reporting activitiesOperational Compliance: Identify and escalate any compliance risks, ensuring adherence to governance frameworks and policiesProcess Improvement: Provide guidance on administrative best practices and contribute to continuous improvement initiativesProcurement & Administration Support: Assist with procurement processes and broader team coordination activitiesWhat You Will BringProven experience in an advanced administrative or executive support role, ideally within a corporate, legal or governance environmentStrong capability in document preparation, reporting and data analysisConfidence working with senior stakeholders and board-level materialExcellent organisational skills with the ability to manage complexity and competing prioritiesHigh level of attention to detail and accountabilityAdvanced proficiency in Microsoft Office and digital toolsA proactive mindset with a focus on continuous improvement and process optimisationWhy GHD?
