Part-Time Administrative Assistant / Patient Care Coordinator
Position Overview
Beverly Psychiatric Services is seeking a reliable, organized, and compassionate Part-Time Administrative Assistant / Patient Care Coordinator to support a growing outpatient psychiatric practice serving children, adolescents, and adults.
This position is ideal for an individual who enjoys helping people, has strong customer service skills, and can manage multiple administrative responsibilities in a healthcare environment.
The Administrative Assistant serves as the first point of contact for patients and plays a critical role in ensuring a positive patient experience while supporting the practice's daily operations.
Schedule
Part-Time Position
Preferred Schedule
- Thursday: 8:300 AM – 5:00 PM
- Friday: 8:30 AM – 5:00 PM
- Two Saturdays per month: 8:30 AM – 2:30 PM - Required
Approximately 20–25 hours per week.
Some flexibility may be available for the right candidate.
Compensation
- Starting pay: $20–$25 per hour
- Based on experience
- No benefits, except PTO and Sick Days
Primary Responsibilities: Patient Scheduling and Communication
- Answer incoming phone calls
- Return patient voicemails
- Schedule and reschedule appointments
- Send appointment reminders
- Confirm upcoming appointments
- Manage provider calendar
New Patient Intake
- Communicate with prospective patients
- Explain services and office policies
- Collect intake paperwork
- Verify demographic information
- Assist with onboarding new patients
Insurance and Administrative Support
- Verify insurance benefits
- Obtain prior authorizations when needed
- Process referrals
- Manage patient forms and documentation
- Assist with medical records requests
Office Operations
- Monitor office email inboxes
- Manage incoming faxes
- Maintain electronic patient records
- Track no-shows and cancellations
- Ensure accurate patient information is maintained
Customer Service
- Provide exceptional patient support
- Address patient questions professionally
- Help resolve scheduling and administrative concerns
- Maintain a welcoming and supportive environment
Qualifications
Required
- High school diploma or equivalent
- Strong communication skills
- Excellent organizational skills
- Professional phone etiquette
- Ability to multitask and work independently
- Proficiency with Microsoft Office and Google Workspace
- Ability to maintain strict confidentiality and HIPAA compliance
Preferred
- Previous medical office experience
- Experience with mental health or psychiatric practices
- Experience with insurance verification
- Familiarity with electronic medical records (EMR/EHR) systems
- Experience obtaining prior authorizations
