We are looking for a professional, well-presented, and client-focused Receptionist to join our firm and serve as the first point of contact for clients, lawyers, and external visitors. Given the nature of a legal environment, the ideal candidate will demonstrate a high level of discretion, confidentiality, and professionalism at all times. In addition to reception duties, the incumbent will handle basic administrative tasks and be able to multi-task when front desk activity is light. This is a pivotal role that contributes directly to the firm’s reputation and the quality of service experienced by our clients from the moment they engage with us. ResponsibilitiesManage the reception areaAssist with general enquiries, hotel and transportation bookings for clients and visitors.
Answering and screening phone calls before transferring them to respective departments or personnels.
Disseminating emails to respective departments or personnels. Handle incoming / outgoing mail and packages and distributing them to respective departments or personnels. Receiving and directing clients to the respective rooms for meeting and informing respective personnels of the arrival of guests.
Maintain a clean and presentable reception area. Greet and welcome visitors with professionalism. Prepare and serve drinks / beverages to the senior management, visitors, guests, and the like.
Coordinate meeting room bookings.
Assist in the set-up of firm’s events such as moving of tables, preparation of glassware, utensils, etc. Handle basic administrative tasks when front desk activity is light. Assist other admin team members on administrative matters as and when required. Undertake any other similar ad-hoc duties assigned by the reporting manager. QualificationsStrong communication and customer service skills.
Highly organized and detail-oriented. Able to multitask.
Experience in similar tasks / field is an added advantage. Strong sense of responsibility. Pleasant disposition and a team player.
