Your ImpactYou will drive operational excellence and a premier workplace experience by seamlessly managing front-of-house services, optimizing administrative workflows, and empowering the Office Services Team to deliver exceptional support across the firm.
You will deliver high-quality administrative and operational support to diverse business units across our firm. Thriving in a fast-paced, multi-faceted environment where no two days are the same, you will comfortably handle multiple tasks while remaining responsive to stakeholder needs.
You will take ownership of front desk operations, using your discretion and strong firm knowledge to manage reception, direct calls, and facilitate visitor hospitality to ensure an exceptional standard of service. You will coordinate office spaces and car park bookings, while overseeing client meeting room presentation. You will handle inbox triage, data entry, and filing, and you will uphold the highest standards of firm and client confidentiality. Additionally, you will manage event and meeting logistics—navigating complex calendars, catering, and room bookings—and handle financial operations within your delegation to ensure accurate, compliant invoicing. Finally, you will drive process improvement by keeping workflows updated, adopting best practices, and coordinating reliable back-up support for reception.
You will role-model excellence and guide your colleagues toward their goals. Using your flexible, customer-focused approach, you will build strong relationships with internal and external stakeholders. Ultimately, you will play a key role in providing comprehensive administrative support across our Australia and New Zealand offices, delivering essential services ranging from front-of-house client experiences and event coordination to document processing, security, and facilities maintenance.
Your Qualifications and Skills3+ years’ experience in a business or an administrative discipline and/or extensive relevant experience within a shared or professional services environmentProven experience in coordinating front of house meetings and eventsIntermediate proficiency in a wide range of software applications such as the Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, Visio), alongside experience managing basic financial procedures. Advanced skills in Word, Excel, and Outlook are highly regardedExceptional organisational and time management skills, with a proven ability to prioritise tasks and meet competing deadlines with a high degree of accuracy and attention to detailDemonstrated ability to influence, communicate effectively, and forge strong working relationships with internal and external stakeholdersExcellent verbal and written communication skills, with a strong ability to work collaboratively in a team environment
