Job Summary
The Front Desk Coordinator / Receptionist is responsible for providing exceptional customer service and administrative support while serving as the first point of contact for visitors, applicants, employees, and callers. This position ensures the smooth day-to-day operation of the front office, assists with administrative tasks, and supports various departments as needed.
ESSENTIAL JOB FUNCTIONS/RESPONSIBILITIES
Responsibilities of the Onboarding Coordinator include, but are not limited to, the following:
Ability to communicate effectively in person, over the phone, and through written correspondence.
Ability to accurately enter, review, and maintain information in responsibilities include, but are not limited to:
- Greet and assist all visitors, applicants, employees, and vendors in a professional and courteous manner.
- Answer, screen, and direct incoming telephone calls to the appropriate department or staff member.
- Manage the front desk reception area and maintain a welcoming and professional office environment.
- Assist applicants and employees with general questions, forms, document completion, Mobile App access, Viventium access, ID requests, and other administrative needs.
- Receive, review, and collect employment-related documentation and route documents to the appropriate department.
- Schedule appointments, interviews, orientations, trainings, and meetings as directed.
- Maintain visitor logs and office sign-in records.
- Assist with filing, scanning, copying, and maintaining employee and office records.
- Monitor and maintain office supplies, forms, PPE inventory, and other materials; coordinate replenishment as needed.
- Distribute incoming mail, packages, and correspondence and prepare outgoing mail.
- Serve as a liaison between field staff and office departments by directing inquiries and ensuring timely follow-up.
- Assist with data entry and maintaining accurate records in company systems.
- Support onboarding, compliance, HR, and training departments with administrative tasks as assigned.
- Maintain confidentiality of employee, applicant, and company information.
- Adhere to organizational policies, procedures, and standards of professional conduct.
- Cooperate with supervisors and team members and perform additional duties as assigned.

Qualifications
- At least 18 years of age.
- Minimum of high school education or a General Education Development certificate (GED)
- Minimum of one (1) year of customer service, receptionist, front desk, administrative assistant, or related office experience preferred.
Nice to Have
- Proficiency in Microsoft Office Suite.
- Experience in healthcare, home care, or human resources environment.
- Prior experience in a Call Center environment.
- Bilingual (Spanish, Russian, Mandarin, Creole, French) preferred.
Functional Abilities
- Ability to communicate effectively in person, over the phone, and through written correspondence.

- Ability to sit or stand for extended periods while performing front desk duties.
- Ability to move throughout the office to assist visitors, access files, office equipment, and supplies.
