Job Summary
We are seeking a dynamic and friendly Receptionist to join our orthodontic practice, serving as the first point of contact for patients and visitors. This vital role combines excellent customer service with efficient administrative support, ensuring smooth clinic operations. The ideal candidate will be energetic, detail-oriented, and capable of managing multiple tasks in a fast-paced environment. Your primary responsibilities will include greeting patients, managing appointment scheduling, and maintaining accurate medical records. A strong understanding of dental terminology, office management systems, and patient service is essential to succeed in this role.
Duties
- Greet patients and visitors warmly, creating a welcoming atmosphere for all clinic guests
- Manage appointment scheduling using dental practice management software such as Eaglesoft or Dentrix
- Handle multi-line phone systems with professionalism and excellent phone etiquette
- Maintain accurate patient records by updating electronic health records (EHR) systems including eClinicalWorks or similar platforms
- Assist with patient intake processes, including collecting medical history and updating documentation review procedures
- Ensure compliance with HIPAA regulations by safeguarding patient information and managing health information securely
- Perform clerical duties such as filing, data entry (including 10 key typing), and managing medical records efficiently
- Coordinate with clinical staff to facilitate smooth clinic flow and timely patient care
Requirements
- Proven experience as a medical receptionist or in a dental/orthodontic office setting with clinic experience preferred
- Strong knowledge of medical terminology, ICD coding (ICD-10/ICD-9), CPT coding, and medical billing practices
- Familiarity with EMR/EHR systems such as WAVEORTHO
- Excellent computer skills including proficiency in Microsoft Office Suite and dental practice management software like WAVEORTHO
- Exceptional customer service skills with the ability to handle multiple phone lines and maintain professionalism under pressure
- Bilingual abilities are a plus to serve diverse patient populations effectively
- Strong organizational skills with attention to detail in documentation review and office management tasks
- Knowledge of HIPAA regulations to ensure patient confidentiality at all times
- Previous experience working in a healthcare or dental office environment is preferred but not required
