St John’s Way Medical Centre is a well-established GP practice located in the heart of Archway with strong links to the local community. We are looking for a motivated and reliable Administrator/Receptionist to join our friendly practice team.
This is a full-time position (37.5 hours per week) combining both reception and administrative duties. The successful candidate will play an important role in supporting the smooth day-to-day running of the practice while providing a professional and welcoming service to patients.
The role involves working closely with the GPs, Practice Manager, Deputy Practice Manager, Senior Administrator and wider practice team to ensure high-quality patient care and efficient administrative processes.
Main Duties and Responsibilities
- Provide general administrative support to the practice team as required.
- Process e-referrals and assist patients with booking hospital appointments.
- Process incoming clinical correspondence and ensure accurate read coding of documents.
- Monitor and manage the practice generic email inbox, processing requests in line with practice policy.
- Organise and manage the GP home visit diary, ensuring relevant patient information is recorded and passed to the duty doctor.
- Assist GPs and patients with secondary care enquiries, directing them to the appropriate services when necessary.
- Liaise with hospitals, clinics, district nurses and other external healthcare professionals when required.
- Telephone hospitals or clinics to obtain test results when requested by doctors.
- Maintain clear and accurate records of referrals and patient communications.
- Provide a professional, courteous and helpful service when responding to patient enquiries by telephone, email or at the reception desk.
- Receive and assist patients attending the practice and ensure reception services run smoothly.
- Attend practice meetings when required.
General Responsibilities
- Work collaboratively with other members of the practice team.
- Provide reception cover when required and assist colleagues during busy periods.
- Work flexibly and support other areas of the practice during staff absence.
- Undertake any other duties appropriate to the role as delegated by the Practice Manager, Deputy Practice Manager or Senior Administrator.
Essential Criteria
- Educated to A Level standard or equivalent.
- High level of English and Maths proficiency.
- Strong administrative and organisational skills.
- Excellent communication skills, including telephone and written communication.
- Good IT skills and experience using computerised administrative systems.
- Ability to work effectively both independently and as part of a team.
- Ability to prioritise workload and manage multiple tasks.
- Ability to remain calm, professional and courteous under pressure.
- Ability to manage challenging or stressful situations appropriately.
- Understanding of confidentiality and data protection within a healthcare setting.

- Administrative qualification.

- Experience communicating via email systems in a professional setting.
