We are seeking a proactive and organized Admin + Receptionist with real estate experience to join our team. The ideal candidate will be responsible for handling daily administrative tasks and providing exceptional front-desk service. They will support the real estate team by managing office operations, assisting with property documentation, and maintaining a professional environment for both clients and staff.
Key Responsibilities
Reception Duties
- Greet clients and visitors in a friendly and professional manner.
- Answer and direct incoming calls, emails, and inquiries related to real estate properties and services.
- Manage meeting room schedules and client appointments.
Administrative Support
- Assist the real estate team with day-to-day administrative tasks such as preparing documents, filing, and data entry.
- Process real estate contracts, forms, and agreements with accuracy.
- Ensure that property listings and related paperwork are updated and organized.
Customer Service
- Provide general information about available properties and real estate services to potential clients.
- Assist clients with queries and offer administrative support throughout the property transaction process.
- Maintain positive relationships with clients and handle their requests promptly.
Office Management
- Manage office supplies and ensure that all office equipment is functioning properly.
- Coordinate with maintenance and IT support when necessary.
- Organize and maintain office files, ensuring they are accessible and up to date.
Coordination with Agents
- Assist real estate agents by coordinating property viewings, client meetings, and supporting with follow-ups.
- Support agents with marketing activities like preparing brochures, posting on property portals, and managing online listings.
Data Management
- Maintain and update the company CRM with accurate client information and property details.
- Assist in preparing reports and presentations for management and agents.
Requirements
Experience
- Minimum 1-2 years of experience as an admin or receptionist, preferably in the real estate sector.
Skills
- Excellent communication and customer service skills.
- Proficient in MS Office (Word, Excel, PowerPoint) and CRM systems.
- Strong organizational skills with attention to detail.
- Ability to multitask and prioritize tasks in a fast-paced environment.
Knowledge
- Understanding of real estate processes, documentation, and terminology.
- Familiarity with property listing platforms and marketing support is a plus.
Language
- Fluent in English (Arabic or additional languages is a plus).
