The Office Assistant supports the daily operations of a small office by managing communication, organizing records, assisting staff, and ensuring the workspace runs efficiently. This role requires strong organization, attention to detail, and the ability to handle a variety of administrative tasks with minimal supervision.
Key Responsibilities
- Manage day‑to‑day office operations to ensure a clean, organized, and efficient work environment.
- Serve as the primary point of contact to greet clients & visitors.
- Prepare conference room for meetings with refreshments, etc.
- Maintain office supplies, equipment, and vendor relationships; coordinate repairs and service requests.
- Sort and distribute incoming mail, manage outgoing mail, and handle basic email communication.
- Filing and record keeping — Maintain organized physical and digital filing systems; update records and ensure accuracy.
- Basic bookkeeping support — Assist with data entry and credit card coding in QuickBooks.
- Bank and post office runs.
Qualifications
- Strong organizational and multitasking abilities.
- Clear written and verbal communication skills.
- Proficiency with Microsoft Office and basic office equipment.
- Attention to detail and accuracy in completing tasks.
- Ability to work independently in a small‑team environment.
- 2-4 years of prior office experience preferred.
- Previous office experience or administrative support roles demonstrating strong organizational skills and multitasking ability.
- Proficiency with computer literacy including Microsoft Office Suite (Word, Excel, PowerPoint), and familiarity with QuickBooks or similar bookkeeping software.
- Demonstrated clerical experience including filing, data entry, proofreading, and maintaining accurate records.
- Strong time management skills with the ability to prioritize tasks efficiently in a busy environment.
We are looking for a part-time or full-time candidate. If part-time, 24 hours per week, starting at $25/hour.
Pay: $31,200.00 - $55,000.00 per year
