Summary
We are seeking a highly organized and proactive Administrative & Executive Assistant to support both day-to-day office administration and executive-level coordination. This role combines general administrative duties with executive support responsibilities, ensuring smooth internal operations and efficient communication across teams.
Key Responsibilities
Administrative Support
- Manage daily office operations and general administrative tasks
- Maintain organized filing systems (digital and physical)
- Handle incoming calls, emails, and general inquiries
- Coordinate office supplies, vendors, and basic facilities needs
- Assist with data entry, document preparation, and record keeping
Executive & Business Support
- Provide direct support to senior management (calendar management, scheduling meetings, travel arrangements)
- Prepare meeting agendas, minutes, and follow-up action items
- Assist with preparation of reports, presentations, and correspondence
- Coordinate internal and external meetings and communications
- Accompany executives on business trips and provide on-site support as required
- Provide executive assistance during business travel, including logistics coordination and itinerary management
- Support corporate hospitality and protocol duties (executive reception, guest coordination, and basic protocol/hosting support)
- Support special projects and ad-hoc business tasks as required
Qualifications & Skills
- 2+ years experience in administrative, executive assistant, or office coordination roles
- Strong organizational and multitasking skills
- Excellent written and verbal communication skills in English
- Proficiency in Microsoft Office (Word, Excel, Outlook, PowerPoint)
- Ability to work independently and handle confidential information
- Strong attention to detail and problem-solving mindset
- Korean language skills is an asset
Pay: $40,000.00-$50,000.00 per year
