Position Purpose:
The Personal Assistant to the CEO provides high-level confidential administrative and personal support to ensure the efficient management of the CEO's professional and business activities. The role requires exceptional organizational skills, discretion, attention to detail, proactive planning, and the ability to manage multiple priorities in a fast-paced environment.
The PA serves as a trusted partner to the CEO, managing schedules, communications, travel arrangements, meetings, personal commitments, and administrative tasks while maintaining the highest level of confidentiality and professionalism.
Key Responsibilities
- Executive Calendar Management
- Manage and maintain the CEO's complex calendar and daily schedule.
- Coordinate internal and external meetings.
- Prioritize appointments based on business needs and urgency.
- Ensure efficient time management and avoidance of scheduling conflicts.
- Arrange recurring meetings and executive commitments.
- Monitor upcoming deadlines and key business events.
- Meeting Coordination
- Schedule and organize meetings, board meetings, leadership meetings, and external stakeholder meetings.
- Prepare meeting agendas and supporting documents.
- Take meeting minutes when required.
- Track action items and follow up with responsible parties.
- Ensure meeting logistics are properly coordinated.
- Communication Management
- Screen calls, emails, correspondence, and inquiries on behalf of the CEO.Draft professional emails, letters, reports, and presentations.
- Respond to routine communications where authorized.
- Act as the first point of contact for internal and external stakeholders.
- Ensure timely follow-up on CEO communications.
- Travel & Logistics Management
- Coordinate local and international travel arrangements.
- Book flights, hotels, transportation, visas, and travel insurance.
- Prepare detailed travel itineraries.
- Manage travel-related expenses and documentation.
- Ensure smooth travel execution for the CEO.Administrative Support
- Prepare reports, presentations, and executive summaries.
- Maintain organized filing systems and confidential records.
- Track important deadlines, contracts, and commitments.
- Handle expense claims and reimbursement documentation.

- Personal Affairs Management
- Coordinate personal appointments and commitments as assigned.
- Manage personal schedules alongside business commitments.
- Assist with family-related arrangements when required.
- Coordinate personal travel, reservations, and events.
- Handle confidential personal matters with complete discretion.
- Stakeholder Coordination
- Liaise with senior executives, clients, consultants, government entities, and business partners.
- Coordinate communication between the CEO and departments.
- Follow up on business-critical matters.
- Build and maintain positive professional relationships.
- Information Management
- Maintain confidentiality of all business and personal information.
- Organize sensitive documents and records.
- Prepare briefing materials before meetings.
- Ensure accurate record keeping and documentation.
- Event & Hospitality Coordination
- Coordinate executive events and business functions.
- Organize client meetings, executive dinners, and corporate events.
- Manage guest arrangements and hospitality requirements.
- Support protocol arrangements for VIP visitors.
- Project Coordination
- Track strategic initiatives assigned by the CEO.Monitor project deadlines and deliverables.
- Follow up with department heads regarding action items.
