Job Purpose
The Document Controller is responsible for managing, maintaining, and controlling all project documentation to ensure accuracy, compliance, accessibility, and traceability throughout the project lifecycle. The role supports project teams by maintaining effective document control processes, ensuring timely submissions, approvals, revisions, and distribution of technical documents, drawings, and project records.
Key Responsibilities
- Manage and maintain all project documentation, correspondence, drawings, and records in accordance with company procedures and project requirements.
- Ensure all submissions are processed in a timely manner and that approvals, rejections, revisions, and updates are accurately recorded and tracked.
- Maintain and update document registers, logs, transmittals, and filing systems.
- Control the issuance, distribution, receipt, and storage of all project documents and drawings.
- Monitor and record changes and revisions to technical documents, ensuring that only the latest approved versions are in circulation.
- Coordinate with project teams, consultants, subcontractors, and suppliers regarding document submissions and approvals.
- Highlight document-related discrepancies, delays, or deviations to the Project Manager for review and action.
- Support the preparation of project reports, presentations, and document packages as required.
- Ensure all documents and drawings are securely stored and maintained with proper traceability and ease of retrieval.
- Distribute controlled copies of approved documents and drawings to relevant stakeholders.
- Ensure compliance with company quality management systems and document control procedures.
- Qualifications & Experience:
- Diploma or Bachelor's Degree in Business Administration, Engineering, Construction Management, or a related discipline.
- Minimum 3 years of experience as a Document Controller, Project Secretary, or similar role within the construction industry.
- Strong proficiency in Microsoft Office applications, particularly Excel, Word, and Outlook.
- Experience using document management systems such as ACONEX, Procore, Asite, Unifier, or similar platforms is highly preferred.
- Sound understanding of construction documentation, technical drawings, and project workflows.
- Candidates with experience in landscaping, infrastructure, civil works, or construction projects will be highly preferred.
