The Administrative Officer role reports to the National Manager – ITCC/CST/PaCCSC. They will assist and support with a range of clinical research related administrative functions and tasks. The position is located within IMPACCT (Centre for Improving Aged Palliative and Chronic Care through Research and Translation).
The Administration Officer – Trials is responsible for providing high level administrative and operational support to the IMPACCT Trials Coordination Centre (ITCC). The position works with the Trials and wider IMPACCT team to assist with project co-ordination and undertake relevant high level administrative related activities for projects.
The position requires a level of administrative know-how, an understanding of a wide range of administrative transactions and use of software systems to support IMPACCT academics with meeting and managing their research projects.
The role involves liaising and communication within FOH and IMPACCT staff; and to a significant number of stakeholders/sites, partners, and collaborators across various programs of research. Attention to detail, good records management and exemplary confidentiality are required for this role.
If successful in applying for this role, you will be responsible for:
Providing day-to-day administrative support to the IMPACCT Trials Coordination Centre, including diary coordination, inbox management, meeting support and general correspondence.
Supporting clinical trial operations through workflow coordination, database maintenance, action tracking, procurement administration, invoice processing, and compliance with organisational policies and procedures.
Coordinating end-to-end delivery of events, forums, workshops, and stakeholder meetings, including logistics, registrations, travel arrangements, communications, and on-site support.
Managing membership databases and support marketing and communications activities, including newsletters, event promotions, stakeholder engagement, mailing lists, and communication materials.
Collaborating with internal and external stakeholders to deliver efficient administrative services, provide ad-hoc team support, and contribute to the smooth operation and visibility of the organisation.
With examples, please outline within your Cover Letter, how you meet the following key selection criteria:
Demonstrated administrative and organisational skills, including the ability to coordinate multiple tasks, manage competing priorities, meet deadlines and maintain accurate records in a busy, deadline driven environment.
Experience providing administrative support for events, meetings or forums, including coordination of logistics, registrations, communications and on-the-day support for stakeholders or participants.
Experience in University administration or similar environment, providing high level support to stakeholders.
Well-developed verbal and written communication skills and the ability to produce clear, succinct reports and documents.

Base
$85,165 - $97,429 pa (HEW 5)This role attracts 17% superannuation (pension) in addition to the base salary.UTS staff also benefit from a wide range of Employee Benefits include flexible work practices, generous parental leave and salary packaging opportunities.
This position is part time (FTE 0.6, 21 hours a week) and appointment will be made on a fixed term basis until June 2027.
