Position Summary
A leading investment management firm in El Segundo is looking for a temp Office Manager to keep their LA office running smoothly. This is a hands-on role covering everything from front desk and facilities to HR, recruiting, and accounting support. They want someone proactive and approachable — someone who takes ownership of the space and anticipates what the team needs before being asked.
Responsibilities
- Manage the front desk, main phone line, and office email inbox — greet guests and direct inquiries professionally.
- Oversee conference room scheduling and resolve any booking conflicts.
- Coordinate catering for meetings and manage weekly snack and supply orders.
- Handle incoming and outgoing mail and shipping.
- Serve as the primary contact with building management, security, parking, and vendors.
- Manage non-IT office equipment and coordinate repairs and maintenance as needed.
- Assist HR with onboarding, offboarding, and labor law compliance.
- Support recruiting by scheduling interviews and coordinating candidate communication.
- Assist accounting with credit account reconciliation and expense reimbursement inquiries.
- Handle IT equipment purchasing and shipping requests.
- Lead or assist with office events and team-building activities.
- Support health and safety compliance including fire drills and emergency preparedness.
Qualifications
- At least 3 years of office management or executive assistant experience.
- Financial services background a plus but not required.
- Proactive, organized, and comfortable managing multiple priorities independently.
- Warm and approachable — someone who creates a welcoming environment for the team and guests.
- Proficient in Microsoft Office Suite, Zoom, Teams, and general office tools.
