About Us
Our Animal Care Centre is a veterinary OPD facility with diagnostic and surgical capabilities, dedicated to providing high-quality healthcare for dogs and cats. We serve both community (street) animals and pets, ensuring that no animal is denied care due to financial constraints. Community animals receive treatment free of cost, while pet services are offered at highly subsidized rates.
We are looking for a compassionate, organized, and resilient individual to be the face of our centre and help ensure a smooth experience for animals, caregivers, pet parents, veterinarians, and visitors.
Role Overview
The Admin Officer / Receptionist is responsible for managing the front desk and supporting the day-to-day operations of the centre. This role requires excellent communication skills, strong organizational abilities, a calm approach to handling busy situations, and a genuine love for animals.
Key Responsibilities
Front Desk & Patient Management
- Manage patient registrations, appointments, walk-ins, and follow-ups.
- Coordinate OPD flow and maintain patient queues efficiently.
- Guide pet parents, feeders, rescuers, and visitors through the treatment process.
- Ensure a positive and professional experience for all visitors.
Administration & Record Keeping
- Maintain accurate patient records and case documentation.
- Manage OPD, diagnostic, and OT registers.
- Coordinate surgery schedules and maintain surgical records.
- Organize and update physical and digital documentation.
Centre Operations
- Support veterinarians and centre management with day-to-day administrative requirements.
- Coordinate with medical, ambulance, and support teams as required.
- Handle ad hoc tasks and operational requests efficiently.
- Ensure smooth functioning of reception and administrative processes.
Communication & Coordination
- Respond to phone calls, WhatsApp messages, and general enquiries.
- Coordinate appointments, surgery schedules, and follow-up visits.
- Communicate effectively with pet parents, rescuers, feeders, and internal teams.
Skills & Qualifications
- Graduate in any discipline preferred.
- 1–3 years of experience in administration, reception, customer service, healthcare, veterinary, or hospitality environments preferred.
- Strong verbal and written communication skills.
- Excellent organizational and multitasking abilities.
- Proficiency in MS Office, Google Workspace, and basic computer applications.
- Ability to remain calm and effective in a fast-paced environment.
- Strong problem-solving skills and attention to detail.
