GENERAL SUMMARY:District Wharf Properties, LLC is hiring an Administrative Assistant to join its dynamic executive team. This role will support the ongoing administrative needs of The Wharf — a 3.3 million square foot mixed-use development along the Potomac River in Washington, DC. The project includes a diverse blend of retail, residential, office, hotel, maritime, and entertainment spaces.
This position reports to the Senior Business Operations Manager and CEO.This position is based full-time in our Southwest Washington, DC office and requires regular in-person attendance.
RESPONSIBILITIES
- Provide administrative support to the CEO and SVP of Investment Management as well as other executives as needed
- Manage kitchen and office supplies, ensuring general upkeep and cleanliness of shared spaces
- Coordinate meetings, including reserving rooms, setting up AV/teleconferencing, managing invitations, preparing agendas, and taking/distributing notes
- Manage office organization systems, including digital and physical file maintenance, supply ordering, and document retention
- Oversee signature workflows using platforms like Docu
- Sign; monitor status and follow up on outstanding items
- Ability to become a notary with company support
- Handle outbound and inbound mail and packages via USPS, UPS, and other carriers, ensuring timely processing and delivery
- Support internal events, employee recognition initiatives, and cross-functional team engagement
- Manage kitchen and office supplies, ensuring general upkeep and cleanliness of shared spaces
- Anticipate needs and proactively identify workflow improvements to enhance daily operational efficiency
- Coordinate travel and reservations for conferences and board meetings Liase with other teams within the organization to ensure clear communication between executives and staff Managing catering for internal events
- Perform other duties and projects as assigned
- EDUCATION, EXPERIENCE AND SKILLS REQUIRED: Associate’s degree or equivalent experience required;
- Bachelor’s degree in Business Administration or related field preferred Minimum of 3 years of experience providing administrative or office support Excellent verbal and written communication skills Highly detail-oriented with the ability to manage multiple tasks and priorities Friendly and professional interpersonal skills, including strong phone and email etiquette
- Skilled at managing time, staying organized, and adapting to shifting priorities
