We are currently hiring for the position of Executive Assistant to the Chairman for a highly demanding senior leadership support role in the UAE.
This role requires a polished, highly organized, proactive, and confidential professional who can support the Chairman in a fast-paced and high-pressure business environment.
Role Overview
The Executive Assistant to the Chairman will be responsible for providing high-level administrative, operational, and executive support. The role involves managing complex calendars, confidential communication, travel arrangements, senior-level coordination, meetings, documentation, and follow-ups.
The ideal candidate should have strong UAE experience and must have previously supported a Chairman, CEO, Managing Director, Board Member, or senior C-suite executive.
Key Responsibilities
Executive & Calendar Management
- Manage the Chairman's calendar, meetings, appointments, and daily business priorities.
- Coordinate internal and external meetings with senior management, clients, investors, board members, and stakeholders.
- Ensure the Chairman is fully briefed and prepared for meetings, presentations, and official engagements.
- Track meeting schedules, follow-ups, action points, and pending approvals.
Travel & Logistics Coordination
- Arrange complex local and international travel, including flights, hotels, transport, visas, itineraries, and meeting schedules.
- Coordinate travel across different time zones and manage last-minute changes professionally.
- Ensure all travel documentation, protocols, and logistics are handled efficiently.
Communication & Correspondence
- Draft, review, and manage emails, letters, reports, memos, and official communication on behalf of the Chairman.
- Act as the first point of contact for internal and external stakeholders.
- Handle confidential communication with professionalism and discretion.
- Maintain strong follow-up with departments, clients, and business partners.
Meeting & Documentation Support
- Prepare meeting agendas, minutes of meetings, presentations, reports, and executive summaries.
- Organize board meetings, management reviews, and strategic discussions.
- Maintain proper records of important documents, contracts, approvals, and correspondence.
- Ensure timely circulation of meeting notes and follow-up items.
Office & Stakeholder Coordination
- Liaise with senior leadership teams, department heads, clients, government entities, and VIP stakeholders.
- Support the Chairman in managing business priorities, deadlines, and key commitments.
- Coordinate with internal teams to ensure smooth execution of instructions and business requirements.
- Handle sensitive and confidential matters with complete integrity.
Personal & Administrative Support
- Provide administrative and personal assistance as required.
- Manage expense claims, reimbursements, office requirements, and executive documentation.
- Support special projects, events, business visits, and official functions as assigned.
Key Requirements
- Minimum 8–12 years of experience as an Executive Assistant / Personal Assistant supporting a Chairman, CEO, Managing Director, or Board-level executive.
- UAE experience is mandatory.
- Experience in real estate, property development, corporate groups, family offices, or investment companies will be an advantage.
- Strong experience in calendar management, travel coordination, meeting preparation, and executive communication.
- Ability to work under pressure, manage multiple priorities, and handle urgent matters efficiently.
- Excellent written and verbal communication skills in English.
- Strong coordination, follow-up, problem-solving, and stakeholder management skills.
- High level of confidentiality, professionalism, and attention to detail.
- Proficiency in MS Office, Outlook, PowerPoint, Excel, and digital calendar tools.
- Flexible, proactive, well-presented, and able to work beyond standard office hours when required.

The ideal candidate should be polished, confident, and highly dependable, with strong exposure to supporting senior leadership in a demanding business environment. This role requires someone who can manage pressure, travel arrangements, confidential matters, and executive priorities with maturity and professionalism.
