Job Title: HR & Recruitment Administrator (Junior)

Job Purpose
The HR & Recruitment Administrator supports the Talent Acquisition and HR teams by coordinating recruitment activities, managing interview schedules, screening candidates, and ensuring a smooth and efficient hiring process. This role plays a key part in delivering a positive candidate experience while maintaining accurate records and supporting day-to-day HR operations.
Key Responsibilities
Recruitment Coordination & Administration
- Support end-to-end recruitment processes for entry-level and mid-level roles.
- Post job advertisements on internal systems, job boards, and social platforms.
- Track applications and maintain an updated candidate database.
- Prepare recruitment documentation including job descriptions, interview packs, and offer letters.
Candidate Screening
- Conduct initial CV screening against role requirements and shortlist suitable candidates.
- Perform telephone screenings to assess candidate suitability, availability, and expectations.
- Coordinate with hiring managers to align on candidate profiles and feedback.
- Maintain accurate screening notes and candidate assessments.
Diary & Interview Management (Core Focus)
- Manage complex interview scheduling across multiple stakeholders and time zones.
- Coordinate availability of hiring managers, interview panels, and candidates.
- Send interview invitations, confirmations, and reminders.
- Arrange meeting rooms, virtual interview links, and logistics.
- Ensure seamless coordination and communication throughout the interview lifecycle.
Stakeholder & Candidate Communication
- Act as the first point of contact for candidates throughout the recruitment process.
- Provide timely updates on application status and interview outcomes.
- Maintain professional and positive communication with internal stakeholders and external applicants.
HR Administration Support
- Maintain employee and candidate records in HR systems (HRIS/ATS).
- Ensure documentation is complete, accurate, and compliant with company policies.
- Assist with onboarding processes including document collection and induction scheduling.
- Support general HR administrative tasks as required.
Reporting & Data Management
- Maintain and update recruitment trackers and dashboards.
- Generate reports on recruitment activity, time-to-hire, and pipeline status.
- Ensure data accuracy and confidentiality at all times.
Qualifications & Education
- Bachelor’s degree or diploma in Human Resources, Business Administration, or related field.
- Relevant HR or recruitment certifications (a plus but not essential).
Experience
- 0–2 years of experience in HR, recruitment, or administrative roles.
- Internship or exposure to recruitment or HR operations is advantageous.
- Experience working in a corporate or fast-paced environment is preferred.
Technical Skills
- Proficiency in Microsoft Office (Word, Excel, Outlook).
- Familiarity with Applicant Tracking Systems (ATS) or HR systems (preferred).
- Strong calendar management skills using Outlook or similar tools.
