We are seeking a highly organized, professional, and proactive Executive Human Resources Assistant to support both our Human Resources Department and Executive Leadership Team. This dynamic role is ideal for someone who thrives in a fast-paced environment, enjoys wearing multiple hats, and excels at balancing people-focused responsibilities with executive-level administrative support.
Reporting directly to the HR Director and providing executive support to the CEO, this position plays a vital role in ensuring efficient HR operations across multiple facilities and franchises while helping executive leadership remain organized, informed, and focused on strategic initiatives.
What You'll Do
Recruitment & Onboarding
- Assist with recruitment activities, including job postings, candidate screening, interview scheduling, and hiring coordination.
- Coordinate with managers to identify hiring needs and required competencies.
- Schedule and facilitate final interviews with the HR Director.
- Extend job offers and coordinate new hire orientation.
- Manage onboarding through the HRIS system, ensuring completion of all required documentation, including I-9s, background checks, reference checks, MVRs, and pre-employment screenings.
HR Administration & Compliance
- Maintain accurate and confidential employee records.
- Process employment verification requests and coordinate with Payroll as needed.
- Track employee leave balances, PTO requests, and attendance records.
- Monitor CPR certification compliance and employee credential requirements.
- Manage termination documentation and reports.
- Review and process Texas Workforce Commission correspondence for HR Director review.
- Ensure compliance with company policies, employment regulations, and HR best practices.
Employee Relations & Engagement
- Serve as a point of contact for employee questions and concerns.
- Maintain employee rosters and support communication across departments.
- Assist with employee recognition programs, celebrations, and culture-building initiatives.
- Support performance management and employee development efforts.
Training & Development
- Maintain employee training records and compliance documentation.
- Coordinate training schedules and company-wide learning initiatives.
- Assist with annual compliance training, including harassment prevention and safety programs.
Executive Administrative Support to the CEO
- Manage and coordinate the CEO's calendar, appointments, meetings, and travel arrangements.
- Prepare meeting agendas, presentations, reports, and executive correspondence.
- Screen and prioritize communications, ensuring timely follow-up and response.
- Coordinate executive meetings, leadership events, and special projects.
- Assist with confidential personal and business matters.
- Support board, ownership, and executive-level communications when required.
Administrative Support
- Provide clerical and administrative support to the HR Director and CEO.
- Manage office supplies, employee uniforms, and inventory.
- Assist with special projects, process improvements, and company initiatives.
- Support day-to-day office operations and maintain organized filing systems.
- Perform other duties as assigned.
Qualifications
- Bachelor's degree in Business Administration/HR or related field
- 3+ years of Human Resources, Executive Assistant, Administrative, or related experience preferred.
- General knowledge of employment laws and HR best practices.
- Exceptional organizational and time-management skills.
- Strong attention to detail and ability to handle multiple priorities simultaneously.
- Excellent verbal and written communication skills.
- Ability to maintain confidentiality and exercise sound judgment.
- Strong interpersonal skills with a customer-service mindset.
- Proficiency in Microsoft Office 365 (Word, Excel, Outlook, PowerPoint).
- Experience with HRIS systems; Paycom experience is a plus.
- Self-motivated, resourceful, and capable of working independently while supporting a collaborative team environment.
