Position Summary
The Part-Time Clerical / Administrative Assistant provides administrative support to the office, customer service, sales, and operations teams. This position is responsible for handling day-to-day clerical tasks, maintaining accurate records, assisting with customer communications, and supporting the efficient operation of a gasket manufacturing environment.
Essential Duties and Responsibilities
Administrative Support
- Answer and direct incoming phone calls.
- Monitor and respond to general email inquiries.
- Prepare, organize, and maintain physical and electronic filing systems.
- Scan, copy, print, and distribute documents as needed.
- Assist with data entry and record maintenance within the ERP system.
Customer Service Support
- Enter customer orders and update customer information.
- Assist with order acknowledgments and shipment notifications.
- Prepare customer documents, including packing lists, certifications, and invoices.
- Maintain customer files and support documentation.
- Follow up on routine customer requests and inquiries.
Purchasing & Inventory Support
- Assist with purchase order entry and vendor communications.
- Maintain supplier files and documentation.
- Help track material receipts and update records.
- Support inventory record accuracy through data entry and reporting.
Operations Support
- Create and distribute production paperwork.
- Maintain job folders and production records.
- Assist with document control and revision management.
- Support continuous improvement initiatives through accurate record keeping.
Qualifications
- High school diploma or equivalent required.
- Previous administrative, clerical, customer service, or office support experience preferred.
- Experience in a manufacturing environment is a plus.
- Proficiency with Microsoft Office (Excel, Word, Outlook).
- Experience with ERP systems preferred.
- Strong attention to detail and organizational skills.
- Excellent verbal and written communication skills.
- Ability to manage multiple tasks and prioritize work effectively.
- Ability to maintain confidentiality of company and customer information.
Physical Requirements
- Ability to sit, stand, and walk throughout the workday.
- Ability to lift and carry up to 20 pounds occasionally.
- Frequent use of computers, telephones, and office equipment.
Work Schedule
- Part-time position, approximately 20–30 hours per week.
- Flexible schedule based on business needs.
- Additional hours may be available during peak workload periods.
