This vital role involves managing front desk operations, providing exceptional customer service, and supporting daily administrative functions to ensure a smooth and efficient workplace.
Key Responsibilities
- Greet Visitors:* Welcome students, parents, and staff with a friendly and professional demeanor, ensuring a positive first impression.
- Phone Management:* Operate multi-line phone systems, address inquiries promptly, and direct calls accurately to the appropriate departments or personnel.
- Mail and Deliveries:* Handle incoming and outgoing mail, packages, and deliveries efficiently, maintaining organized filing systems.
- Office Management:* Support tasks such as calendar management, appointment scheduling, and coordinating meetings.
- Inventory Control:* Maintain office supply inventory, order necessary materials, and ensure the workspace remains tidy and functional.
- Data Entry and Document Management:* Assist with data entry, proofreading documents, and updating records using Microsoft Office Suite and Google Workspace tools.
- Customer Support:* Provide exceptional customer service through excellent phone etiquette and personalized assistance to visitors or callers.
Requirements
- Experience:* Proven experience in front desk operations or office administration, showcasing strong clerical skills.
- Organizational Skills:* Excellent organizational skills with the ability to multitask effectively in a busy environment.
- Computer Proficiency:* Proficiency in Microsoft Office (Word, Excel, Outlook), Google Workspace, QuickBooks, and data entry software.
- Bilingual Abilities:* Bilingual capabilities are highly desirable to meet the needs of our diverse clientele.
- Customer Service Excellence:* Demonstrated experience with multi-line phone systems, phone etiquette, and a commitment to providing exceptional customer service.
- Typing Skills:* Strong typing skills with attention to detail for proofreading and ensuring document accuracy.
- Previous Experience:* Previous office management or administrative assistant experience preferred; personal assistant experience is a plus.
- Time Management:* Exceptional time management skills to prioritize tasks efficiently while maintaining professionalism under pressure.
Pay: $2,000.00 - $2,200.00 per month
