Role Description
The Administrative Assistant is a full-time, on-site role based in Flint, MI. This role supports daily office operations, including managing incoming calls, greeting visitors, scheduling appointments, and maintaining organized records and files. The Administrative Assistant will assist with correspondence, data entry, and preparing documents, reports, and presentations for staff and leadership.
Responsibilities also include coordinating meetings and events, supporting executive-level administrative tasks as needed, and ensuring a professional, welcoming environment for veterans and their families. The person in this role will collaborate closely with program staff to help keep services and outreach efforts running smoothly.
Qualifications
- Strong administrative assistance skills, including scheduling, document preparation, and office coordination.
- Professional phone etiquette and customer service skills, with the ability to handle multi-line phone systems and direct inquiries effectively.
- Clear, respectful communication skills, both written and verbal, with attention to detail and accuracy.
- Experience providing executive administrative assistance, including calendar management, meeting coordination, and confidential information handling.
- Solid clerical skills, such as filing, data entry, record keeping, and basic office technology use (e.g., email, word processing, spreadsheets).
- High school diploma or equivalent required; additional coursework or an associate degree in business, administration, or a related field is a plus.
- Proficiency with standard office software (Microsoft Office or similar) and comfort learning new systems and databases.
- Strong organizational and time-management skills, with the ability to prioritize tasks and work independently and as part of a team.
- Interest in or experience working with veterans, military families, or nonprofit organizations is highly beneficial.
