The North Valley Property Owners Association (NVPOA) is seeking a motivated, organized, and professional Administrative & Marketing Assistant to support the Executive Director with the daily operations of the association. This position plays a key role in member support, office administration, marketing, event coordination, outreach, and communication efforts that help strengthen and grow the association.
The ideal candidate is welcoming, detail-oriented, creative, dependable, and passionate about providing exceptional customer service to housing providers, industry partners, and community members.
Position ResponsibilitiesMember & Office Support
- Serve as a primary point of contact for members and non-members through phone, email, social media, and in-person interactions.
- Assist members with forms, resources, account support, membership benefits, and general housing-related questions while maintaining a welcoming and professional office environment.
- Maintain member records, establish new member profiles, and ensure accurate account information in association software.
- Process accounts receivable payments, invoices, renewals, and membership billing with strong attention to detail and accuracy.
- Assist with collections follow-up regarding outstanding invoices and membership renewals.
- Welcome new members with onboarding emails/calls and provide login instructions for member portal access.
- Maintain confidentiality and professionalism regarding member and association information.
- Assist with general office administration, filing, scanning, data entry, and document organization.
- Maintain office cleanliness and organization including light cleaning duties, restocking supplies, watering plants, and preparing meeting spaces.
- Driving for outreach will be part of daily tasks.
Marketing & Communications
- Create and manage social media content, marketing campaigns, graphics, videos, and promotional materials using Canva and other marketing platforms.
- Assist with email marketing, newsletters, website updates, and event promotions.
- Help maintain NVPOA’s website ensuring information, events, and legislative resources remain current and easy to navigate.
- Develop creative outreach strategies to promote membership growth, committee participation, sponsorships, and event attendance.
- Assist in creating educational and promotional content that aligns with NVPOA’s mission and goals.
- Support community outreach efforts with members, non-members, vendors, sponsors, and industry partners.
Events & Education Support
- Promote, coordinate, and register attendees for workshops, classes, networking events, and association functions.
- Assist with event logistics including room setup, check-in, materials preparation, refreshments, and vendor/sponsor coordination.
- Ensure event communications, registration links, flyers, and materials are distributed accurately and on time.
- Support committee meetings and association initiatives as directed by the Executive Director.
Legislative & Industry Awareness
- Maintain a general understanding of California rental housing laws, fair housing guidelines, and legislative updates to help direct members to appropriate resources.
- Seek clarification from the Executive Director and trusted association resources when questions fall outside the scope of expertise.
- Stay informed on industry trends, housing issues, and association updates to better support members and outreach efforts.
Qualifications
- Strong communication and customer service skills.
- Organized, dependable, and detail-oriented.
- Ability to multitask and prioritize in a fast-paced environment.
- Comfortable using Microsoft Office, Google Workspace, Canva, social media platforms, and basic office technology.
- Marketing, social media, or customer service experience preferred.
- Interest or experience in property management, housing, non-profits, or event coordination is a plus.
- Ability to work independently while collaborating closely with the Executive Director and association leadership.
- Professional appearance and positive attitude.
Preferred Skills
- Canva graphic design and video creation.
- Social media marketing and engagement.
- Event planning and coordination.
- Basic website editing experience.
- CRM or association management software experience.
Position Details

Job Type: Full-time
Pay: $17.00 - $20.00 per hour
