Position Summary The Office Coordinator / Biller / Title Clerk is essential to the smooth operation of the business office. This role ensures that all vehicle sales are finalized accurately, state and local regulations for vehicle titling are met, and daily administrative functions run efficiently.
Key Responsibilities
Billing & Deal Processing
- Review and process all vehicle sales documents for accuracy and completeness.
- Cost out deals, calculate gross profits, and verify commissions.
- Ensure all paperwork complies with lender and internal guidelines.
- Submit warranties and aftermarket products for processing.
Title & Registration
- Process all new and used vehicle title applications and registrations accurately and in a timely manner.
- Manage and track the status of out-of-state titles and registrations.
- Handle lien payoffs and secure clear titles for trade-in vehicles.
- Maintain current knowledge of state Secretary of State/Department of Motor Vehicles regulations.
Office Coordination & Administration
- Maintain and organize inventory records and dealer trade documentation.
- Reconcile specific accounting schedules and assist with accounts payable/receivable tasks as needed.
- Provide general administrative support to the management team.
Qualifications & Skills
- Prior experience in an automotive business office is strongly preferred.
- Proficiency with Dealer Management Systems (e.g., CDK, Reynolds & Reynolds, Dealertrack).
- Strong understanding of vehicle titling, registration, and billing processes.
- High level of attention to detail and accuracy in data entry.
- Excellent organizational and time management skills.
- Ability to work effectively in a fast-paced environment and handle multiple tasks simultaneously.
Pay: $22.00 per hour
