Duties
- Oversee daily office operations, including front desk management, multi-line phone systems, and calendar coordination for staff and executives
- Coordinate and plan company events, meetings, and training sessions to promote team engagement and professional development
- Manage vendor relationships, including negotiating contracts, processing invoices through QuickBooks, and ensuring timely deliveries of supplies and services
- Supervise administrative staff and provide guidance on clerical tasks such as filing, bookkeeping, and record keeping
- Handle human resources functions like onboarding new employees, maintaining personnel files, and supporting payroll processes
- Maintain accurate budgeting records and assist with financial tracking to ensure office expenses stay within allocated limits
- Support medical or specialized office management tasks if applicable, including appointment scheduling and patient or client communication
Requirements
- Proven experience in office management or administrative roles with strong organizational skills
- Demonstrated supervisory experience leading teams or managing projects effectively
- Proficiency in QuickBooks for bookkeeping and payroll processing
- Excellent communication skills with professional phone etiquette and customer service orientation
- Experience with event planning, vendor management, and schedule coordination
- Knowledge of human resources procedures including onboarding, training & development, and employee relations
- Familiarity with medical office management or front desk operations is a plus but not required
- Ability to multitask efficiently in a fast-paced environment while maintaining attention to detail
