Probate Paralegal (Operations Manager)

Role Description This is a full-time, on-site Probate Paralegal (Operations Manager) role based in Las Vegas, NV. The person in this role will manage and oversee probate case workflows from intake through final distribution, ensuring all deadlines, court requirements, and internal procedures are met.

Day-to-day responsibilities include preparing and filing probate petitions, notices, inventories, accountings, and related court documents, as well as reviewing documents for accuracy and completeness.

The role involves coordinating with the attorney, court staff, clients, managing Junior Paralegals and third parties (such as financial institutions and personal representatives), maintaining organized case files, and monitoring case progress.

The Probate Paralegal (Operations Manager) will also improve and document office procedures, track key performance metrics, support training of team members, and help drive operational efficiency and consistent client experiences.

Qualifications

• Strong understanding of probate and estate administration within the field of law, including familiarity with court processes and relevant rules.
• Proficiency in legal document preparation for probate matters, including petitions, pleadings, notices, and court forms.
• Experience with document review to ensure accuracy, completeness, and compliance with court and firm standards.
• Solid research skills for locating statutes, rules, and local court procedures, and for gathering necessary information from public records and third parties.
• Excellent communication abilities, including clear written correspondence with clients, courts, and third parties, and professional verbal communication in person and by phone.
• Proven operations or workflow management experience in a law firm or professional services environment, with strong organizational and process-improvement skills.
• High level of attention to detail, ability to manage multiple matters simultaneously, and consistent follow-through on deadlines.
• Comfort with legal practice management software, document management systems, and standard office technology (e.g., MS Office, Clio, ShareFile, Odyssey).
• Prior probate or estate planning paralegal experience is strongly preferred; experience supervising or coordinating a small team is a plus.
• Associate’s or bachelor’s degree, paralegal certificate, or equivalent combination of education and relevant experience.
