Legal Assistant/Paralegal needed in our New York office! The Legal Assistant/Paralegal plays a crucial role in supporting the Real Estate practice group and boosting attorney efficiency by managing information and aiding in the delivery of legal services, including client interactions.
This position demands a proactive attitude to ensure tasks are completed on time, exceptional organizational skills, keen attention to detail, and the ability to excel in a high-volume, fast-paced environment. This role will also handle paralegal level billable tasks. Minimum of three years’ experience working in a law firm environment, preferably working with commercial real estate attorneys.
P roficient in most current versions of MS Office including proficiency in Word, Excel and PowerPoint, preferred.
Duties And Responsibilities

- Provide legal administrative support to attorneys.
- Assist with practice group billing and invoicing.
- Handle general correspondence
- Assist with due diligence as requested
- File of both physical and electronic documents.
- Take client calls, connecting all incoming calls, including initial screening for potential clients.
- Responsible for all aspects of client intake including collection of all pertinent information, file opening, engagement documents, etc.
- Schedule and coordinate meetings including videoconferences, and conference calls.
- Manage attorneys’ contacts, schedule, and calendar.
- Track due dates and deadlines.
- Enter time for timekeepers and print reports as requested.
- Track and record own billable and non-billable time as applicable.
- Create, revise, and format legal documents.
- Prepare closing binders via iManage, as well as physical binders.
- Process expense reports
- Process check requests for vendor costs and trust disbursements
- Find and retrieve information from files.
- Assist with follow up on AR collection.
- Assist attorneys in preparation for meetings.
- Maintain confidentiality of client information.
- Coordinate projects and daily department functions
- Provide excellent customer service to all clients both over the phone and via email
- Update and track cases via excel sheet Assist attorney in preparing and managing real estate transactions, including acquisitions, sales, lease transactions, loan transactions and corporate matters.
- Identify which documents are necessary for closing and generate same with limited oversight
- Facilitate communication between the attorneys for buyers and sellers, clients, lenders and other parties involved in the transactions
- Attend closing with attorney when necessary
- Prepare signature pages for all deal documents
- Ability to transition between various types of transactions and support carious attorneys as needed
- Prepare and maintain closing checklists
- Maintain organized files for voluminous transactions
- Manage information through various firm databases, including but not limited to MS Teams, Word, Excel, iManage, and other platforms.

The expected salary range for this position is between $80,000 and $100,000. Actual pay will be adjusted based on experience and other job-related factors permitted by law.
