The Front Desk Receptionist serves as the first point of contact and a key representative of the company, creating a welcoming, professional experience for visitors, clients, employees, vendors, and callers. This role supports smooth daily office operations by managing front desk responsibilities, coordinating communication, and providing responsive administrative support.

JOB DUTIES
Front Desk and Customer Service
- Create a welcoming, professional first impression for all visitors
- Manage multi-line phone traffic and route calls accurately
- Maintain an organized, polished, and fully stocked front desk
- Deliver responsive, high-quality service to visitors, clients, and employees
- Resolve questions and concerns with professionalism and urgency
- Prioritize competing front desk, administrative, and service requests effectively
- Guide visitors efficiently and ensure they reach the appropriate contact or location
- Coordinate communication among customers, vendors, and internal departments
- Respond to inquiries quickly while ensuring a positive service experience
- Balance shifting between tasks as needed while maintaining accuracy
Administrative Support
- Receive, log, and distribute mail, packages, and deliveries promptly
- Support administrative tasks, including data entry and records maintenance
- Coordinate meeting schedules and related arrangements
- Monitor office supply levels and place replenishment orders as needed
- Effectively manage high-volume invoice workflows, including retrieving vendor invoices from email and web portals, utilizing OCR and document management platforms, and reviewing invoice data for accuracy and completeness before import into the ERP system for reconciliation and payment
- Open mailed checks, verify totals, and submit them to Cash Management for processing
- Keep the kitchen clean and organized, including unloading dishes and wiping counters each morning
- Maintain kitchen, bathroom, and snack inventory and coordinate replenishment with HP
- Perform other duties as assigned
