Front Desk Receptionist

Overview

Topflavor Farms in a family owned and operated company with administrative offices based in Yuma, AZ. & Salinas, CA. and we are seeking a friendly and organized Front Desk Receptionist to be the first point of contact for our vendors, employees, and visitors, for our Yuma location. This role is essential in creating a welcoming environment and ensuring smooth operations at the front desk.

The ideal candidate will be Bi-lingual, and will possess excellent communication skills, a professional demeanor, and the ability to handle various administrative tasks efficiently, while remaining open to learn other administrative roles within the company.

Responsibilities

• Greet and assist clients and visitors in a courteous and professional manner.
• Manage incoming phone calls, directing them to the appropriate personnel or taking messages as needed.
• Perform data entry tasks, maintaining accurate records and documentation.
• Utilize office software including MS Office Suite, MS Teams and Industry Specific Accounting Program for various clerical duties.
• Schedule appointments and manage calendars for staff members.
• Maintain an organized front desk area, ensuring it is tidy and welcoming at all times.
• Handle mail distribution and other administrative tasks as required.
• Assist with basic inquiries regarding services offered by the organization.
• Assist as backup for other positions within the company as needed.

Skills

• Bilingual proficiency is needed, enhancing communication with diverse group of employees, vendors, & clientele.
• Strong computer literacy, including familiarity with office software such as MS Office Suite, Microsoft Teams, Industry Specific Accounting Software, & Zoho platforms.
• Experience with phone systems to manage calls effectively.
• Excellent clerical skills with attention to detail for data entry tasks.
• Ability to multitask in a fast-paced environment while maintaining professionalism.
• Strong interpersonal skills to build rapport with vendors, company employees and company team members alike.
• Previous experience in a front desk or receptionist role is preferred but not mandatory.
