Position Summary

The Night Shift Customer Service Representative serves as the primary point of contact for restaurant customers, delivery drivers, and internal teams during evening and overnight operations. This position is responsible for processing orders, managing last-minute changes, resolving customer concerns, and supporting delivery operations to ensure timely and accurate service.

The ideal candidate is organized, detail-oriented, and able to remain calm under pressure while managing multiple priorities in a fast-paced environment. Success in this role directly impacts customer satisfaction, order accuracy, and operational efficiency.

Essential Duties and Responsibilities

• Answer incoming calls, emails, and customer inquiries during overnight operations
• Enter customer orders, order additions, substitutions, and changes accurately into the company ERP system
• Review, print, organize, and file invoices and related order documentation
• Communicate with restaurant customers regarding order status, product availability, delivery updates, and service issues
• Support delivery drivers by providing route information, addressing customer concerns, and resolving delivery discrepancies
• Monitor orders to ensure accuracy and timely processing
• Escalate urgent customer service or operational issues to management when necessary
• Maintain accurate customer records and documentation
• Coordinate with warehouse, purchasing, and operations teams to address inventory shortages or special requests
• Prepare detailed notes and updates to ensure a seamless handoff to the day shift team
• Provide professional, courteous, and solution-oriented customer service at all times

Qualifications·

1–3 years of customer service, administrative, or operations experience· Food distribution, restaurant, hospitality, or produce industry experience preferred – same as Familiarity with produce, perishables, or food safety practices is a plus· Comfortable working a consistent afternoon/evening schedule· Strong verbal and written communication skills· Excellent organizational and multitasking abilities· Ability to prioritize tasks and work independently with minimal supervision· Proficiency in Microsoft Office, Google Workspace, and order management systems· Experience with ERP, CRM, and Produce Pro software preferred · Familiarity with produce, perishables, or food safety practices is a plus· High school diploma or equivalent required; some college coursework preferred

• Ability to sit, and use a computer and telephone for extended periods

• Frequent interaction with customers, drivers, warehouse personnel, and management
• Fast-paced setting requiring attention to detail and timely decision-making
• Evening and overnight operations supporting next-day deliveries
