eDesign Dynamics (EDD) is seeking a full-time Bookkeeper / Operations Support individual to support our growing water resources engineering consulting firm. The selected candidate will work primarily remotely but must be available for in-person work at our New York, NY office approximately every two weeks and should live within commuting distance.

This position involves bookkeeping, financial management, payroll, invoicing, office operations, staff support, Deltek Ajera administration, and internal coordination with project managers and the firm’s leadership team.

The ideal candidate will be technically savvy, detail-oriented, and able to manage financial workflows, administrative operations, and recurring deadlines across multiple projects. The successful applicant will have substantial experience with Deltek Ajera and strong proficiency in Excel and Word.

They should be comfortable training staff, communicating with clients and vendors, preparing financial reports, and maintaining organized digital and physical systems. Applicants should be self-motivated, organized, and able to work both independently and collaboratively. Excellent communication and writing skills are essential.

Desired Skills and Experience

• A minimum of 2 years of experience working in a similar role
• Substantial experience using Deltek Ajera, including timesheets, invoicing, reporting, and administrative setup.
• Strong proficiency with QuickBooks, Excel, and Word, and demonstrated ability to manage bookkeeping with accuracy and attention to detail.
• Demonstrated ability to maintain financial records, manage invoicing workflows, prepare AR reports, initiate and track payroll, and oversee accounts payable and receivable.
• Ability to support project managers and leadership with time tracking, staff utilization, and Deltek Ajera-based project reporting.
• Excellent verbal and written communication skills, with the ability to train staff in operational and administrative procedures.
• Strong organizational skills and the ability to manage office operations, maintain supply inventories, handle client-facing documentation (insurance, invoices, certifications), and coordinate internal administrative workflows.
• Process contractor and vendor invoices.
• Monitor and manage office supplies and equipment.
• Support Human Resource functions, including onboarding new staff, maintaining personnel records, and assisting with benefits administration.
• Coordinate and plan company events.
• Ability to manage sensitive financial information confidentially, reliably, and professionally.
• 5+ of experience working in a similar role.
• Experience working in an engineering, architecture, environmental consulting, or professional services firm.
• Experience preparing and interpreting AR reports, financial summaries, and timesheet-based cost allocations.
• Familiarity with insurance documentation, client compliance requests, and bureaucratic requirements for company certifications and registrations.
• Experience supporting staff with software troubleshooting, administrative training, and process standardization.
• IT support experience / capability a strong plus!

Most of EDD’s projects are in the fields of green infrastructure design and construction management (regional planning, site-scale design, construction oversight), sustainable water systems design (rainwater harvesting and reuse systems), ecological restoration (most work involving restoration of tidal wetlands),water resources modeling (hydrology, groundwater, water quality, and hydraulics), and habitat restoration assessment and design.

We have extensive experience working on urban ecological restoration projects, frequently combining habitat improvements with stormwater management.

Salary Range

$67,000 – $100,000 per year plus generous benefits including healthcare, dental, vision, disability, and 401k with match.
