Location: Hilton Chicago Oak Brook Hills Resort & Conference CenterDepartment: Finance/AccountingReports To: Assistant Controller / Area Director of Finance

Position Summary

The Accounting Clerk supports the daily financial operations of the hotel with a primary focus on Accounts Receivable and Accounts Payable. This position is responsible for maintaining accurate financial records, processing invoices and payments, assisting guests with billing inquiries, supporting audit activities, and providing administrative support to the Finance Department.

The ideal candidate is detail-oriented, adaptable, and willing to assist wherever needed to support the success of the hotel.

Essential Duties and Responsibilities

Accounts Receivable

• Process guest, group, and direct bill payments accurately and timely.
• Prepare and distribute invoices and account statements.
• Research and resolve billing discrepancies and payment issues.
• Follow up on outstanding balances and maintain accurate receivable records.
• Respond to guest and client inquiries regarding billing and payments.

Accounts Payable

• Process vendor invoices accurately and timely through Ottimate and Aptech.
• Verify invoice approvals and supporting documentation.
• Assist with vendor statement reconciliations and payment inquiries.
• Maintain organized accounts payable files and records.
• Support weekly check runs and payment processing activities.

Accounting Support

• Answer guest and vendor phone calls related to accounting matters.
• Assist with bank audits and cash verification procedures.
• Assist with vending machine inventory, collections, and reconciliations.
• Support internal and external audit requests by gathering documentation and providing information.
• Maintain financial records and documentation in accordance with company policies and procedures.
• Assist with special projects and departmental initiatives as assigned.
• Provide support to all areas of the accounting department and assist other departments as business needs require.
• Perform other duties as assigned.

Qualifications

• High school diploma or equivalent required; Associate’s or Bachelor’s degree in Accounting, Finance, or related field preferred.
• Previous accounting, bookkeeping, accounts receivable, or accounts payable experience preferred.
• Hospitality experience preferred but not required.
• Strong attention to detail and organizational skills.
• Ability to manage multiple priorities in a fast-paced environment.
• Excellent customer service, communication, and problem-solving skills.
• Ability to maintain confidentiality and handle sensitive information with integrity.

Preferred Skills

• Experience with PEP (Property Management System).
• Experience with Micros POS.
• Experience with Aptech accounting software.
• Experience with Ottimate invoice processing software.
• Proficiency in Microsoft Excel and Microsoft Office applications.
• Ability to work independently while contributing to a team environment.
• Flexible and willing to assist with a variety of accounting and administrative tasks as needed.

Work Environment

This position operates in a professional hotel office environment and regularly interacts with guests, vendors, and team members throughout the hotel. Flexibility and a willingness to assist in multiple areas of the operation are essential.
