The National Shrine of Blessed Francis Xavier Seelos seeks a detail-oriented, trustworthy, and experienced Bookkeeper / Accounting Support professional to assist with the financial operations, internal controls, organizational stewardship, and administrative support functions of the Shrine.
This position supports the Shrine's mission through accurate bookkeeping, payroll and benefits coordination, accounts payable, financial reporting, vendor coordination, inventory support, budgeting assistance, and maintenance of organized financial systems and records.
The role also serves an important internal control and stewardship function by helping maintain accurate financial documentation, supporting accountability procedures, and assisting leadership in ensuring sound financial practices within a ministry environment.
The ideal candidate demonstrates professionalism, confidentiality, organizational ability, initiative, and comfort working collaboratively within a Catholic ministry setting.
Starting at $24/hour; higher compensation may be considered for candidates with significant bookkeeping, QuickBooks, payroll, nonprofit, or ministry administration experience.
Accounting & Financial Operations Maintain financial records and bookkeeping systems using QuickBooks Enter and code invoices, bills, payroll entries, journal entries, and credit card transactions Process accounts payable and prepare weekly check runs Assist with bank, merchant, and payment platform reconciliations Maintain organized accounting and vendor files Assist with tracking restricted and designated funds Support monthly and year-end financial close processes Assist with cash flow monitoring and financial organization Coordinate and maintain documentation for audits, reconciliations, and financial reviews Coordinate estate, trust, wills, and other major donatios Financial Reporting & Budget Support Prepare monthly financial statements, budget-to-actual reports, and year-to-date financial summaries Assist leadership with preparation of annual budgets and forecasting Support preparation of financial documentation for Provincial leadership and external accountants Identify discrepancies, missing documentation, or unusual financial patterns for leadership review Payroll & Human Resources Administrative Support Process weekly payroll and maintain payroll documentation Coordinate payroll-related changes and records Assist with employee benefits administration and enrollment processes Maintain organized personnel and payroll-related files Support onboarding and employment documentation processes Maintain confidentiality regarding employee, donor, and financial information Vendor Coordination & Inventory Support Assist the Administrator of Operations with vendor coordination and tracking Maintain vendor records, W-9s, and supporting documentation Assist with purchase order tracking and invoice matching Support gift shop inventory ordering and related documentation Assist with annual inventory processes and seasonal reconciliation projects Place orders for gift shop as needed Internal Controls & Organizational Stewardship Support internal financial controls and accountability procedures Assist with maintaining accurate audit trails and financial documentation Help monitor financial workflows related to deposits, reimbursements, cash handling, and payment processing Assist leadership in maintaining organized financial and operational systems Support compliance with Shrine financial policies and procedures
