Job Description
As a Virtual Receptionist / Patient Care Coordinator, you will focus on bilingual patient communication and scheduling support, appointment recalls, call handling, EMR navigation, contact lens order processing, and administrative support for an optometry clinic.
Requirements
- Fully bilingual in English and French with excellent verbal and written communication skills.
- Previous experience in customer service, reception, call handling, or administrative support.
- Strong organizational skills and attention to detail.
- Comfortable learning and working within healthcare software platforms and EMR systems.
- Ability to multitask, prioritize responsibilities, and work independently in a remote environment.
- Friendly, patient-focused approach with strong interpersonal skills.
- Preferences
- Previous experience working in an optometry clinic or healthcare setting.
- Familiarity with Weave or similar patient communication platforms.
- Experience using electronic medical record (EMR) systems, preferably Optosys.
- Knowledge of optometry terminology, eyewear products, or contact lenses.
- Experience handling appointment recalls, patient scheduling, and medical office workflows.
- Background supporting multiple providers or clinic locations.
Responsibilities
- Conduct appointment recall campaigns through phone calls and text messages to confirm upcoming appointments
- Contact patients prior to appointments using predefined communication scripts
- Answer incoming patient calls and respond to inquiries in a professional and friendly manner
- Schedule, reschedule, and process appointment cancellations within the clinic's systems
- Gather and document emergency intake information from patients when required
- Navigate the clinic's EMR system to review appointment details, patient records, account balances, and eyewear pickup status
- Process contact lens orders and provide updates to patients regarding their orders
- Perform additional administrative and patient support tasks as assigned

- Successful candidates for this role will be rewarded with the following benefits:A total of five paid vacation days per year (additional days can be taken unpaid).A 5% raise per year guaranteed (additional raises or bonuses may be given for outstanding performance).A paid 15-minute break for every 4 hours of work.
