Responsible for the monthly production of invoices: o Produce WIP / UBT reports from the Firm's financial reporting hub and work with Stakeholders / Partners to determine matters to be billed each month, ensuring compliance to Firm and client guidelines; create (using firms BOTs where possible) prebills and distribute to Partners for review, ensuring timely follow-up; execute task coding amendments, text corrections, transfers, write offs, and produce additional schedules as required by client guidelines; o Obtain and compile back-up documentation required by client, such as copies of expense reports, third party bills, etc; o Prepare bills in final form for approval and ensure these are sent to our Client(s) in a timely manner o Post final bills in the finance system (Aderant); o Coordinate the submission of electronic bills with E-billing Analyst(s); Produce AR reports from the Firms financial reporting hub and work with Stakeholders / Partners to ensure co-ordinated efforts on collections and provide timely updates to the Senior Revenue Manager and / or Central Finance where necessary; Prepare and distribute Pending and Missing Time reports to all Lawyers within the Middle East offices, ensure timely movement of pending time to a chargeable matter and where needed to Non Billable to ensure compliance with AML regulations; Review Request For Proposal(s) and ensure rates align to the Firm standard and that any AFA has been modelled by the Manager / Pricing Team and is approved; Review New Business Intake workflow(s), ensure thorough review of Engagement Letters and timely set-up of Client / Matters; ensure rates / budgeting are established; Communicate client requirements with Manager and implement (eg. Special rate agreements, volume discounts, accruals, fee trackers, billing formats, special reporting needs etc); Proactively track matter budgets and ensure that billings are within the appropriate budget constraints whilst keeping Stakeholders / Partners appraised; Prepare reports and detailed financial analysis as and when requested by Stakeholders / Partners; Attend to special projects as and when requested; Attend meetings and client calls with lawyers, Finance staff, as requested; Ability to resolve ad-hoc problems as and when they arise.
Must be detail oriented and capable of balancing multiple responsibilities and tight deadlines effectively. Must be able to translate general directions into specific action items. Attention to detail and accuracy are essential. Must have effective interpersonal skills and the ability to interact with all levels of personnel. Proficient in MS Office (Excel and Word)
