Office Assistant | Receptionist | Administration & Property Management Executive
Tawasul Al Sada Business Services LLC is seeking a smart, energetic, disciplined, and highly responsible Office Assistant to support our office administration, reception, client service, HR administration, property management, and daily business operations.
This is a multi-functional position requiring a proactive individual who can professionally manage office activities, company-managed properties, client relations, and administrative responsibilities while maintaining high standards of hospitality and organization.
Candidates with previous UAE experience in Office Administration, Reception, Security, Property Management, Facility Management, Customer Service, Hospitality, or Office Coordination are encouraged to apply.
Key ResponsibilitiesReception & Client Relations
- Welcome clients and visitors in a professional and courteous manner.
- Receive incoming telephone calls and direct inquiries appropriately.
- Schedule and manage client appointments.
- Maintain reception and waiting areas in a clean and professional condition.
- Prepare and serve tea, coffee, and refreshments to clients, guests, and management.
- Ensure excellent customer service and hospitality at all times.
Office Administration
- Manage day-to-day office administration and operational support.
- Maintain office files, registers, records, and confidential documents.
- Assist management with correspondence, filing, scanning, photocopying, and documentation.
- Monitor office supplies and coordinate procurement requirements.
- Ensure meeting rooms and common office areas remain organized and presentable.
HR & Administrative Support
- Maintain daily employee attendance records.
- Assist with HR documentation and personnel files.
- Monitor staff attendance and punctuality.
- Prepare daily, weekly, and monthly administrative reports.
- Support management in administrative coordination and internal office operations.
Basic Accounting & Cash Handling
- Collect authorized payments from clients and tenants.
- Issue receipts and maintain payment registers.
- Record daily collections and submit reports to the Accounts Department.
- Assist with maintaining petty cash records when assigned.
- Ensure proper documentation of financial transactions.
Property & Facility Management
- Supervise company offices located in Al Nahda, Al Karama, and Deira.
- Monitor company-managed staff accommodation and bed spaces.
- Ensure offices and accommodation remain clean, organized, and properly maintained.
- Conduct regular inspections and report maintenance issues.
- Coordinate with cleaners, maintenance personnel, and vendors as required.
- Maintain a safe, tidy, and welcoming environment across all company premises.
General Office Support
- Assist company officials with operational and administrative responsibilities.
- Support floor management and ensure smooth office operations.
- Maintain confidentiality of company records and client information.
- Perform additional duties assigned by management based on operational requirements.
Candidate Requirements
- Minimum 3–5 years of UAE experience in office administration, reception, security, facility management, property management, or a similar role.
- Previous experience in security services or office management is an added advantage.
- Good communication skills in English (additional languages are an advantage).
- Basic computer proficiency, including Microsoft Office, email, and document management.
- Knowledge of basic accounting, payment handling, and administrative reporting.
- Excellent customer service and interpersonal skills.
- Smart, presentable, disciplined, and trustworthy.
- Strong organizational, multitasking, and time-management skills.
- Physically fit and willing to assist with office and property-related responsibilities.
- Ability to work independently and maintain confidentiality.
Working Hours
- Working hours may extend up to 12 hours per day, depending on operational requirements and business workload.
- Weekly off will be scheduled based on operational needs and management approval.
Salary & Benefits
- Basic Salary: AED 1,800 per month
- Performance-Based Commission: Additional commission based on the achievement of the team's monthly KPI and business performance.
- Salary review based on performance and contribution to the organization.
- Performance bonuses and incentives may be awarded at the discretion of management.
- Company accommodation in Al Nahda may be provided based on satisfactory performance, operational requirements, and availability.
- Employment visa will not be provided for this position. Applicants must have a valid legal right to work in the UAE, APplicant should have their own visa and need to provide police clearance certificate when joining the role.
Mandatory Joining Requirement
The selected candidate must submit the following before joining duty:
- Police Clearance Certificate (Good Conduct Certificate)
- Valid Emirates ID (must)
- Passport Copy
- Valid UAE Visa Copy
- Educational Certificates
- Previous Employment Experience Certificates
Failure to provide the required Police Clearance Certificate before joining may result in withdrawal of the employment offer.
